Overview of the Billing Coordinator Role
The Billing Coordinator will play a critical role in minimizing company risk through collections, data analysis, and customer service. The Billing Coordinator will interact with customers, internal teams, and billing systems to ensure accurate financial activity and strong cashflow management.
Responsibilities of the Billing Coordinator
The Billing Coordinator will:
- Manage pastdue balances and frontline collections by contacting customers regarding delinquent debit/credit balances, logging activity, transmitting documentation, and generating accurate daily metrics and aging reports.
- Investigate and resolve account discrepancies-including over/short payments, disputed items, and unapplied cash-while collaborating with internal teams such as Sales, Operations, Dispatch, and Accounting.
- Analyze credit and account data across multiple systems to identify billing, setup, or contract issues; assess exposure relative to credit limits; recommend credit adjustments; and escalate potential cashflow risks.
- Maintain strong customer service standards through timely, clear communication with internal and external stakeholders, including notifying teams of accounts nearing credit hold.
- Support risk mitigation by leveraging analytical tools (including Excel pivot tables and lookups), reviewing credit files, assessing security options, and advising on credit availability for products and services.
The Billing Coordinator should have:
- At least one year of experience in billing or collections.
- Proficiency in Excel, including VLOOKUPs and Pivot Tables.
