Student Services Specialist
At Umpqua Community College, we know that sometimes the biggest barrier to reaching a student's goal isn't motivation—it's knowing where to find the right support. We're looking for a Student Services Specialist who can help students navigate those barriers and connect them with funding, resources, and opportunities that keep them moving forward. You'll work directly with students to identify available funding, provide career and college coaching, build mentoring relationships, and connect students with campus and community resources. This is a relationship-driven position. You'll have the opportunity to get to know students, understand what's standing in their way, and help connect the dots between their goals and the resources available to them. Examples Of Duties
Grants & Funding
- Connect eligible students with available funding through SOWIB and other assigned funding sources.
- Develop and maintain required grant paperwork, tracking systems, student files, and documentation.
- Prepare and submit required reports accurately and by established deadlines.
- Monitor grant requirements, including SOWIB/WIOA/ETPL requirements and updates.
- Coordinate regularly with state agencies, grant partners, and workforce organizations; attend required meetings.
- Monitor grant-related expenditures and assist with budget tracking.
- Develop collaborative relationships with academic programs, Student Services departments, community organizations, and other partners.
- Conduct outreach and recruitment at campus and community events to promote available funding opportunities.
- Regularly review the ETPL list to ensure UCC awards are offered appropriately.
- Serve on the Student Services Funding for Students Task Force.
- Maintain accurate computerized data files and prepare summaries and reports as needed.
- Schedule meetings and gather information needed to support assigned programs.
Student Support & Case Coordination
- Identify students who may qualify for available funding and assess eligibility based on program requirements.
- Monitor student progress and intervene when appropriate to support successful outcomes.
- Help students access funding and other resources that reduce barriers to education.
- Provide individualized career and college coaching, mentoring, and support.
- Assess student needs and connect students with appropriate internal and external resources.
- Work with campus staff and departments to coordinate student support.
- Maintain accurate records of student contacts, services, progress, and outcomes in designated databases and spreadsheets.
- Maintain student records and documentation in accordance with UCC and grant requirements.
- Prepare required student data and program reports.
- Provide presentations, workshops, and outreach related to available resources and funding opportunities.
General Support
- Answer phones and assist with general Student Services activities as needed.
- Support a clean, healthy, and professional work environment.
- Perform other related duties as assigned.
Knowledge, Skills, And Abilities
- Knowledge of grant tracking, accounting, compliance, and reporting.
- Knowledge of Microsoft Office and computer applications used for word processing, spreadsheets, databases, and presentations.
- Ability to learn UCC programs, departments, and community resources.
- Ability to develop working knowledge of local, state, and federal education, workforce, and support programs.
- Ability to work effectively with individuals from diverse social, economic, academic, and cultural backgrounds.
- Strong listening, verbal, written, and presentation skills.
- Ability to build trusting relationships with students and motivate them toward their educational and career goals.
- Ability to develop and present workshops, seminars, and training materials.
- Strong organizational skills and attention to detail.
- Ability to work independently, set priorities, meet deadlines, and follow tasks through completion.
- Ability to maintain accurate and confidential student records.
- Ability to use sound judgment when assessing student needs and making referrals.
Qualifications
Required Qualifications
- Associate degree or equivalent combination of education and relevant work experience.
- Demonstrated knowledge of grant tracking, reporting, and accounting.
- Proficiency with spreadsheet, word processing, database, or similar software.
- Experience developing and presenting seminars, workshops, or trainings.
- Experience working with students and developing effective mentoring relationships.
- Demonstrated experience working with individuals from diverse social, economic, academic, and cultural backgrounds.
- Current Oregon driver's license and good driving record.
- Willingness and ability to provide personal transportation for work-related activities.
Preferred Qualifications
- Bachelor's degree in a related field.
- Experience working in higher education or student services.
- Experience working with unemployed or under-employed individuals, low-income populations, veterans, re-entry populations, individuals with disabilities, dislocated workers, English Language Learners, GED students, immigrants, or first-generation college students.
- Experience in case management, crisis intervention, employment services, recruitment, workforce training, social work, or a related field.
- Experience working with workforce systems, programs, and community resources.
