Office Administrator

The Office Administrator will ensure a smooth day‑to‑day office operations and deliver a welcoming, professional experience for employees, visitors, and partners. This role serves as the first point of contact at the front desk while also owning core office administration, facilities coordination, and administrative support activities. You will also work closely with teams and leadership to manage office resources, coordinate meetings and events, support expense processes, and maintain organized digital and physical systems. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast‑paced, onsite environment.

Duties

Office Administration

  • Order and maintain inventory of office supplies, kitchen items, and equipment
  • Coordinate catering for meetings, events, and team activities
  • Book and manage conference rooms and shared spaces
  • Support expense reporting and reimbursement processes for leadership (e.g., Stuart)
  • Liaise with vendors, building management, and service providers as neede

Front Desk & Visitor Management

  • Front Desk & Visitor Management
  • Serve as the first point of contact in the lobby
  • Greet, check in, and direct visitors in a professional and welcoming manner
  • Maintain visitor logs and ensure adherence to security protocols
  • Answer and route incoming calls and inquiries (as needed)
  • Administer badges for new hires and visitors
  • Manage and operate door access system
  • Administrative & Project Support

Administrative & Project Support

  • Provide administrative support to teams and leadership as needed
  • Scan, organize, and maintain digital and physical filing systems
  • Assist with coordination of special events and office activities
  • Prepare reports, presentations, and documents using Microsoft Office tools
  • Support special projects and drive process improvements across the office
  • Provide ad hoc support as needed

Must Have Qualifications

  • High school diploma or equivalent required
  • Three years of experience in an administrative or office support role
  • Experience using business software (e.g., Microsoft Outlook, Word, Excel)

Desired Qualifications

  • Associate or bachelor’s degree in business administration, Office Management, or related field

Good to Know

  • This an onsite role in San Diego, CA five days a week.
  • Pay Range: $23.00 - $28.00 hourly
  • This role is primarily sedentary and performed in an office environment. Requirements include:
  • Prolonged periods of sitting and working on a computer
  • Occasional standing, walking, bending, reaching, and light lifting (up to 20–30 lbs)
  • Frequent use of hands for typing, filing, and operating office equipment
  • Ability to view computer screens for extended periods
  • Occasional movement of boxes, files, equipment, and supplies throughout the office
