Summary The Supervisory Medical Support Assistant (MSA) plans and directs programs at the Black Hills Health Care System, and have full responsibility for supervising at least one subordinate MSA team leader, supervisor, or equivalent administrative patient support staff. Responsibilities Total Rewards of a Allied Health Professional Major duties include, but are not limited to, the following: Thorough knowledge of pertinent laws, regulations, directives, and policies that relate to the administration of VA Health Care Benefits Skilled in compiling available data; knowledge of the organization to search records, files, or electronic data banks to locate information needed and verify information given Possess extensive working knowledge of clinic processes and services to function in and interact with various areas throughout the hospital Ensure MSA staff are following the most current VA Scheduling Directive and Minimum Scheduling efforts Provide supervisory medical administrative support to one or more clinics Responsible for assuring accurate appointment management and the coordination of all administrative information Timekeeping duties to include following all regulations regarding approving of leave and approving timecards Assign and evaluate the work of subordinate staff to maintain efficient workflow and assure coverage of all areas of responsibility Evaluate new products, equipment, and systems to make recommendations for improved operations Identify educational or training needs and ensure all training requirements are met Evaluate performance and take disciplinary action when necessary Guarantee full administrative and professional responsibility for planning and directing the MSAs activities Responsible for extracting and analyzing data to provide reports to AO's and other ELT's Assure MSA staff explain the VA's mandate to collect insurance information to Veterans, their families, and other eligible patients. Assure staff collects, scans, and updates health insurance information serving a major role in the revenue process Position requires a valid driver's license and ability to pass a driving physical. Individuals operate a government vehicle as part of their job to travel to other VA facilities in the area. Work Schedule: Monday-Friday, 7:30am-4:00pm Recruitment Incentive (Sign-on Bonus): Not Authorized Permanent Change of Station (Relocation Assistance): Not Authorized Pay: Competitive salary and regular salary increases Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with current MSA responsibilities or an equivalent administrative patient support role in a non-VA medical inpatient or outpatient setting. Experience satisfying this requirement may be paid/non-paid employment as an MSA or an equivalent position in a non-VA hospital or clinic setting. Basic Requirements: Citizenship: Be a citizen of the United States (U.S.). Non-citizens may be appointed when it is not possible to recruit qualified citizens according to 38 U.S.C. § 7407(a). Grade Determinations: Supervisory Medical Support Assistant GS-8 This position is above the full performance level for this job series and requires experience beyond the basic requirement for positions in this occupation. You must meet the basic requirements and the following: REQUIRED EXPERIENCE: One year of creditable experience equivalent to the next lower grade. Knowledge, Skills, and Abilities (KSAs). In addition to the experience above, the candidate must demonstrate the following KSAs: (a) Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. (b) Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. (c) Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. (d) Ability to provide briefings, orientations, staff development, and training in a patient support setting. (e) Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
