Coordinator of Signature Events (25 Hours/12 Months)

Summary The Coordinator of Signature Events is responsible for helping achieve the University Advancement mission by providing overall logistical and administrative support to the Associate Director of Signature Events for an array of events. The role may include managing and communicating event planning timelines, day‑of logistics, creative assistance, tracking budgets, and creating event layouts. Essential Duties And Responsibilities Assist the Associate Director of Signature Events with all event functions. Gather and confirm event details prior to the event day. Work with the event host on event‑related functions. Coordinate and confirm vendor details, logistics, and compliance. Data entry and organization of event logistics. Support the creative production of events. Maintain and assist with volunteer contacts and communication. Provide on‑site assistance with audio‑visual, campus information, catering, safety, and serve as liaison for event organizers with on‑campus departments. Establish and implement short and long‑range organizational goals, objectives, policies, and operating procedures regarding university alumni affinity groups. Assist with the planning and implementation of alumni events and University Advancement marquee events (Parent and Family Weekend, Homecoming, and Grandparents Day). Coordinate planning committees for marquee events. Assist in monitoring and evaluating the operational effectiveness of events and effect necessary changes for improvement. Supervisory Responsibilities This position has no supervisory responsibilities. Hospitality and team‑oriented attitude; willingness to assist with all aspects of the business when required. Ability to plan multiple events simultaneously while maintaining a high level of organization and composure. Ability to work flexible hours, including early mornings, late evenings, weekends, and holidays.
