Executive Aide The Executive Aide provides high-level administrative and operational support to the Executive Director. This position plays a critical role in ensuring the efficient coordination of the Executive Director’s schedule, communications, and priorities. The Executive Aide serves as a key liaison between the Executive Director and internal staff, government agencies, community partners, and stakeholders. Key Responsibilities Manage and coordinate a complex, dynamic executive calendar, including scheduling meetings, prioritizing requests, and resolving conflicts. Draft, review, and manage correspondence on behalf of the Executive Director, ensuring timely and professional communication. Coordinate logistics for meetings, events, and tours. Support the Executive Director in tracking priorities, deadlines, and key initiatives. Support engagement with governmental agencies, including scheduling, documentation, and follow-up. Serve as a primary point of contact between the Executive Director and internal/external stakeholders, including government agencies, elected officials, and community partners. Facilitate communication and coordination across departments to support organizational goals. Required Qualifications Bachelor’s degree in Business Administration, Communications, Public Administration, or related field, or equivalent education or experience. Minimum 3–5 years of experience supporting senior leadership or executives. Demonstrated experience managing complex calendars and scheduling in a fast-paced environment. Experience working with or alongside governmental agencies, elected officials, or public sector organizations. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and virtual meeting platforms. Strong organizational, time management, problem‑solving, written and verbal communication skills. High level of professionalism, discretion, and confidentiality. Ability to manage multiple priorities and adapt to changing needs, work independently and collaboratively. Valid NYS driver’s license; acceptable driving record for agency insurance coverage. Ability to meet background check standards and flexible hours, including evenings and/or weekends as appropriate. Preferred Qualifications Experience in a nonprofit, public sector, or Cooperative Extension environment. Familiarity with Suffolk County governmental structure and agencies. Experience supporting executive-level meetings, boards, or advisory groups.
