Patient Care Coordinator

About the role: Vera Health & Fertility is a root-cause fertility and women's health practice in Westminster, Colorado. We're a cash-pay practice that helps patients understand what's driving their symptoms, not just manage them. Our Patient Care Coordinator is the first and last person every patient sees, and we take that seriously. We're hiring a Part-Time Patient Care Coordinator to own the patient experience on our busiest days. Schedule: Mondays and Thursdays, 7:00am-4:00pm (18 hours/week) Location: On site in Westminster, CO Reports to: Office Manager Pay: $20-$22/hour, depending on experience. What you'll do: Patient experience and front office:

• Welcome and check in patients with warmth, professionalism and attention to detail.
• Answer phone calls, messages, texts and emails promptly and courteously.
• Answer patient questions about pricing, packages, payment plans and insurance reimbursement for our cash-pay services.
• Process patient payments accurately and make sure every encounter is billed within 48 hours.
• Keep the front office and reception area clean, organized and stocked.
• Coordinate with medical assistants to keep clinic flow smooth and patients informed.

Scheduling:

• Manage provider calendars and fill cancellations from the waitlist to keep schedules full.
• Schedule follow-up appointments before patients leave.
• Support our surgery scheduler with patient communication as needed.

Team and operations support:

• Follow and help improve front desk policies and procedures.
• Flag supply needs and maintenance issues to the Office Manager.
• Spot ways to improve the patient experience and front desk workflow, and bring them forward.

What success looks like: Patients consistently describe their front desk experience as friendly and professional. All encounters billed within 48 hours, with no payment errors. 95% of patients leave with their next appointment scheduled. Fully trained and independent in the role within 30 days. What we're looking for: Required: 1+ year of front desk, reception or patient-facing experience in a medical, dental, med spa or wellness setting Warm, polished communication in person and on the phone Comfort handling payments and explaining pricing clearly and confidently Strong attention to detail and follow-through Reliable availability Mondays and Thursdays, 7:00am-4:00pm Preferred: Experience in a cash-pay, concierge or specialty practice Familiarity with EHR and practice management systems Interest in women's health, fertility or functional medicine Availability for occasional Friday coverage Pay, benefits and how to apply: Pay: $20-$22/hour, depending on experience Benefits: Paid sick leave per Colorado law Application deadline: October 30, 2026 To apply, email [REMOVED - SEE ORIGINAL LISTING] with:
