Client Intake & Rates Coordinator

Overview Clyde & Co is a global law firm focused on aviation, energy, infrastructure, insurance, marine, and trade. The Kansas City Office seeks an energetic, enthusiastic and experienced Client Intake & Rates Coordinator to work efficiently in a fast‑paced environment. Responsibilities Monitor the daily status of new matters, completing billing setups, reviewing billing guidelines, selecting invoice delivery method and ensuring all necessary billing fields are populated for pro‑forma/invoice generation. Create and modify bill groups, assist with matter plans, set‑up and modify split billing set‑ups. Review outside counsel guidelines for compliance and implement client requirements, including cost constraints and electronic billing standards. Perform administrative client, matter and timekeeper file maintenance, including closing files, mass edits to revalue time, generate ad‑hoc reports and complete daily reporting tasks. Maintain the shared inbox by organizing prompt responses to rate information and billing setup requests. Implement and maintain charge‑out rates as agreed by legal and pricing teams. Observe confidentiality in all firm and client matters. Other responsibilities and duties as they arise. Experience & Skills Bachelor’s degree or equivalent experience (preferably Accounting or Business). 1‑3 years of experience in a law‑firm finance department or comparable industry. Experience with Elite 3E financial software. Understanding of billing rate hierarchy and client/matter maintenance. Demonstrated understanding of complex billing. Advanced proficiency with Microsoft Excel and Microsoft Office. Excellent written and verbal communication and interpersonal skills; ability to establish and maintain relationships with partners, attorneys, finance staff, clients, brokers and other third‑party vendors.
