Job Summary Student Outreach, Advocacy & Support (SOAS) providesnon-clinical case management support to students who haveexperienced an unanticipated life event that may impact theirability to focus on their education goals. The Intake Case Manageris an integral part of SOAS, this position provides referralcoordination and office management support to the team. The IntakeCoordinator reports directly to the Program Manager for StudentOutreach and Support. This position will have a primary function ofworking in intake and customer service; which includes referralmanagement and assignment to the case management staff andcoordination of the incoming referrals through walk-ins, phone, andemail. This position is also responsible for office management andsupport of the SOAS student employees. This position will workdirectly with the case management staff and campus partners toensure students are receiving the support they need. Who We Are The Divisionof Student Life consists of 36 departments that provide student support and services dedicated to helping students becomesuccessful, curious, competent individuals during their time at CUBoulder. Student Outreach, Advocacy & Support works with students to reduce the adverse impact of challenging situations. Staff take a holistic, non-clinical case management approach to help students address their needs or personal life events that may affect their educational career. A case manager supports a student by facilitating connections and navigating resources and services, whether on campus or in the community. We assist students’ mental health, emotional well-being and safety by providing outreach, resources and referrals. What Your Key Responsibilities Will Be Intake and Referral Support Coordinate centralized case management process for office incollaboration with office leadership. This includes reviewing allincident reports submitted to office, creating cases, assigningcases to case managers, and coordinating care with other offices asneeded through the Maxient case management software. Provide entry-point services including intake and assessment,crisis intervention, information on system-wide operations (CourseDrop Process, Withdrawal Process, Tuition Dispute, RetroactiveWithdrawal, Incompletes, Leave of Absence, etc.), problem solving,and referrals to Case Managers and appropriate university andcommunity resources for ongoing support. Required to listen, triage information gathered, and determinenext steps for complex and unique situations without precedent orguidance. Application of principles of crisis management andde-escalation techniques to determine how to best assist and/orrefer intensified students and parents in person or over thephone. Be responsible for shared email account and incoming phonecalls. Obtain and review updates on distressed students and facilitatethe flow of information between appropriate offices. Responsible for providing support to students referred formild, moderate, or early alert concerns as needed. Communicate with parents/guardians, families, or designatedemergency contacts as appropriate. Coordinates follow-up and tracking of students to monitorprogress and ensure compliance with recommendations; maintainsconfidential student records. Completes documentation and maintains record keeping of studentcases in Maxient, an electronic database. Case Management Provides ongoing case management support to student referralsof varying levels. Serves as a point of contact and provides consultation forcampus community members who are seeking guidance and advice aboutour services for students who may be experiencing distress; alsocommunicates intervention steps and procedures. Respond to walk-ins and phone calls related to students indistress as needed. Acquire and review information on distressed students andfacilitate communication between the relevant offices both oncampus and in the greater community. Assist referred students in making use of university and/orcommunity resources and services. Provide one-on-one consultation with students seeking guidanceand resolving educational and personal challenges; Communicate with parents/guardians, families, or designatedemergency contacts as appropriate. Serves as a member of the case management team and communicatescurrent information related to cases concerning students; worksclosely with the leadership and assists in determining appropriateaction to take on referred cases. Coordinates & implements recommendations from BehavioralIntervention Team (BIT Team) regarding students asappropriate. Maintains confidential student records. Completes documentation and maintains record keeping of studentcases in Maxient, an electronic database. Administrative and Office Management Coordinates follow-up and tracking of students to monitorprogress and ensure compliance with recommendations. Provides support to case managers and case consultation,manages booking pages for case managers and leadership, andsupports scheduling for the team. Prepare reports and presentations on the case managementprocess. Document student contacts and assist in the record-keepingprocess. Assist in the collection and reporting of assessment data toprovide support in compiling weekly, monthly, and annual reports tohighlight SSCM accomplishments and services. Assist in the maintenance of the website content, links,brochures, communication, etc. Inform their supervisor of pertinent ongoing cases, projects,and possible threats, following protocol and processes. Assist with emergency operations planning, divisioneducation/training and tracking. Serve on committees, task forces, and working groups asdesignated. Represent SOAS programs and services through tabling atuniversity and community events. Route email, phone calls, and walk-ins to SOAS staff or takemessages when appropriate. Oversee all purchasing and office supply acquisition for theoffice. Coordinates travel for all staff and prospectiveemployees. Arranges room reservations, catering,invitations/announcements, signage (if required), technology,support, etc. Provide monthly reports on identified data points to the SOASleadership team. Support SOAS Leadership with other duties as assigned. University Collaboration Manage referrals of students and provide feedback to referralagents; Coordinate with representatives from various departmentsincluding Student Conduct and Conflict Resolution, Housing andResidence Life, Office of Disability Services, University Police,Office of Victim Assistance, Counseling and Psychiatric Services,University Legal Counsel, and appropriate staff and faculty acrossthe university; Provide connection to resources for members of the campuscommunity, including staff, faculty, departments, andcolleges. Serve as liaison for designated on- and off-campusresources. What You Should Know The work schedule is typically Monday through Friday, 8 am-5pm. Some nights and weekends. Typically in person, with remote workavailable depending on the needs of the day. What We Can Offer The annual salary range for this position is$53,000-$58,240. What We Require Bachelor's degree in Social Work, Counseling, Human Services,Behavioral Sciences, or a related field. 2+ years of post-bachelor professional experience providingcase management or individualized support. Experience in crisis management and response. Demonstrated ability in managing difficult and complexsituations. What You Will Need Ability to interact effectively with students, faculty/staff,and parents. Ability to work cooperatively with others within amultidisciplinary team environment. Evidence of effective collaborative relationships withstudents, faculty, staff, and parents. Demonstrated experience in facilitating training andpresentations to students, staff, or faculty. What We Would Like You to Have Master's degree in Higher Education, Social Work, Counseling ora related field. Experience in a higher education setting. Experience using Maxient.
