Position Summary:

Under the direction of the Director, Medical Staff Office, perform a variety of specialized functions to
support the smooth workflow in the Medical Staff Office. Will support all members of the department
as needed. Deals discreetly with large amounts of sensitive, confidential information concerning the
professional and personal performances of staff and confidential information concerning health center affairs, information contained in letters, provider files, and other documents. Maintains confidentiality of all provider information and other health center related information.

Responsibilities

• Responsible for maintaining CAQH for approximately 350+ providers. This consists of reviewing online databases for each provider, marking necessary changes to the data, updating licensure, uploading copies of updated licensure, and re-attesting online that provider’s data is correct. Quarterly will re-attest for all providers as required by CAQH.
• Work with Provider Enrollment Specialist with Offboarding of providers (submit term letters to insurance plans); remove provider from active managed care (pink file) to managed care terminated (pink file).
• Move active provider BMC files to the terminated BMC files as providers leave NeighborHealth.
• Track Bluewater provider schedules monthly.
• Support Annual verification of Provider’s Board Certification as needed
• Language assessment – process forms for provider testing, scans documents, forwards to Interpreter Services for testing, and maintains language spread sheet.
• Take the initiative to perform a wide variety of activities and to be flexible in terms of work assignments based on operational needs, contributing to the smooth functioning of the department.
• Open, review, and distribute interoffice mail daily. Brings priority items to the manager’s attention. Responds to correspondence on own initiative.
• Check the fax machine and route correspondence as needed. Follows up on confidential and patient related faxes and forward to appropriate clinical area. Add paper to the printer, fax and photocopier as needed.
• Responsible for tracking and ordering all supplies as needed by the Department in a timely manner.
• May need to support Provider Recruiters with administrative functions or schedule meetings on behalf of Recruiter.
• Assist the department with obtaining and copying all paperwork/licensure/education as required.

Education

• Any combination equivalent to: Bachelor’s Degree in related field. 

Experience

• At least three years’ experience working in a professional health care setting. 
• Demonstrated computer skills (Workday desired).

• Good interpersonal and excellent organizational skills. 
• Public speaking techniques. 
• Recruitment and retention programs and techniques.
• Interviewing techniques. 
• Must be able to work with detailed confidential material, experience in Workday desired.
