Construction Virtual Assistant

Virtual Management Services is seeking a reliable and detail-oriented Construction Virtual Assistant to support construction teams, contractors, and project managers in their day-to-day operations. In this role, you will play a critical part in ensuring projects run smoothly by providing administrative, coordination, and project support across various construction-related tasks, including managing project documentation, scheduling timelines, tracking materials, assisting with estimates and invoices, and communicating with clients, subcontractors, and suppliers. You will also help maintain accurate records, organize plans and permits, and support the team in meeting project deadlines and operational goals. This position is ideal for someone who is highly organized, proactive, and knowledgeable in construction processes, with the ability to manage multiple responsibilities in a fast-paced remote environment while maintaining a high level of accuracy and professionalism. Attention to Detail Organizational Skills Communication Skills Proactiveness & Reliability Responsibilities Provide administrative support to construction teams and project managers Manage and organize project files, plans, permits, and documentation Coordinate schedules, meetings, and project timelines Assist in preparing estimates, invoices, and project reports Communicate with clients, subcontractors, and suppliers Track materials, orders, and project progress Maintain accurate data in project management and CRM systems Support bid preparation and proposal documentation Handle email and calendar management Perform other general administrative tasks as required Must Have Proven experience as a Virtual Assistant, Administrative Assistant, or similar role Experience or familiarity with construction processes and terminology (preferred) Strong organizational and multitasking skills Excellent written and verbal communication skills High attention to detail and accuracy Ability to work independently and meet deadlines Proficiency in Google Workspace or Microsoft Office Preferred Qualifications Experience with construction management software (e.g., Procore, Buildertrend, CoConstruct) Knowledge of basic estimating or takeoffs Familiarity with reading construction drawings or plans Experience with QuickBooks or similar accounting tools What's great about this role?
