Customer Service Representative

As a Customer Service Representative, you'll be at the heart of the Million Air experience-welcoming private aircraft, pilots, passengers, and guests while delivering the exceptional, personalized service that defines our brand. You'll provide an elite level of customer service and concierge support, anticipate the needs of our guests, and work closely with our ground team to ensure every detail is handled seamlessly.

This position also supports Million Air's Hertz rental car operation, assisting with customer rentals, vehicle inventory and preparation, vehicle inspections, and related administrative responsibilities.

Responsibilities and Duties :

Customer Service & FBO Operations

• Customer Greeting: Greet customers in a friendly, polished, and professional manner.

• Concierge Services: Provide concierge services to pilots and passengers, including reservations and transportation arrangements.

• Aircraft Preparation: Proactively prepare for incoming aircraft and anticipate customer needs.

• Customer Records: Record customer preferences and relevant information in Million Air's internal systems.

• Invoicing: Accurately invoice customers for services rendered.

• Team Coordination: Partner with the Line Service team to ensure customer service expectations are exceeded.

• Service Recovery: Communicate service concerns and customer feedback promptly to management.

• Hospitality: Maintain a fully stocked hospitality bar with snacks and beverages.

• Facility Standards: Maintain a clean, organized, and welcoming front desk, lobby, and FBO amenities.

Hertz Rental Operations

• Rental Agreements & Customer Service: Explain rental terms, process reservations, complete rental agreements accurately, and manage customer payments and invoicing.

• Vehicle Inventory & Condition: Document vehicle mileage and condition at rental and return, maintaining accurate inventory records.

• Promotions & Sales: Promote available upgrades, additional coverage, and other products while providing sales support to business accounts.

• Customer Concerns: Respond promptly and professionally to customer questions, concerns, complaints, and requests.

• Vehicle Cleaning & Maintenance: Clean vehicle interiors and exteriors to company standards using appropriate equipment.

• Vehicle Inspections & Records: Conduct vehicle inspections and maintain accurate records of vehicle condition and required maintenance.

• Vehicle Transportation: Safely move, park, stage, and deliver vehicles as needed and assist with customer pickups.

• Inventory Management: Maintain and reorder supplies necessary for vehicle cleaning, upkeep, and daily rental operations.

Competencies

• Customer focus- naturally outgoing/extroverted

• Communicate with customers and employees in person, on phone, and through radio communications

• Strong computer skills including Microsoft office products and point of sale programs

• Basic mathematical knowledge

• Must be able to operate a motor vehicle and be insurable by Company insurance policy (Requires clean driving record)

• Bi-lingual preferred

This position reports to the Customer Service Manager/General Manager

Work Environment

This position operates in a professional environment, which may include exposure to all types of weather conditions and direct contact with both moving and non-moving aircraft.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job, to include but not limited to:

• Must be able to lift 25 pounds

• Stand to greet customers during verbal exchanges, walk throughout the facility to interact with customers

• Possible exposure to hazardous noise levels, chemicals, fumes, and machinery

Position Type and Expected Hours of Work

This is a non-exempt position

This position includes shift work which requires working evenings and weekends, and on scheduled company holidays.

Travel

No travel is expected for this position.

Education, Experience, and Eligibility Qualifications

• Customer service experience preferably in the service industry

• High School Diploma or equivalent

• Entry level position

• Ability to work evenings weekends, and holidays

• Acceptable driving record

• Ability to pass a background check

• 21+ years old
