Position Summary

The Anderson Museum of Art seeks a personable, organized, and service-oriented Events and Rental Manager to serve as the primary point of contact for the museum’s vendors, rental clients and private events.

Working closely with the Executive Director, Experience Manager, and Technical Director, this position will guide prospective clients through the rental process—from the initial inquiry and facility tour through contract coordination, event preparation, and day-of hospitality. The Events and Rental Manager plays a vital role in ensuring every guest feels welcomed, informed, and cared for while helping maximize the museum's growing rental program.

Whether someone chooses the museum to celebrate a wedding, honor the life of a loved one, host a graduation celebration, gather for a nonprofit event, or mark another important milestone, this position helps create experiences that reflect the warmth, professionalism, and beauty of the Anderson Museum of Art.

This is a 20-hour-per-week position with regular office hours Tuesday through Friday, Noon-5:00 p.m. Because event schedules vary, applicants should also have flexibility to work approximately five additional hours in the evenings or weekends as needed to support rental events.

This position has the potential to transition into a full-time Events & Community Engagement role in 2027 as the museum continues to grow.

Primary Responsibilities

Client Experience & Event Coordination

• Serve as the primary point of contact for prospective and confirmed rental clients.
• Respond promptly to rental inquiries by phone, email, and in person.
• Schedule and conduct facility tours for prospective clients.
• Help clients identify spaces and amenities that best meet their event needs.
• Guide clients through the rental process, answering questions regarding contracts, policies, logistics, and available services.
• Coordinate communication between clients and museum staff to ensure seamless planning experience.

Rental Operations

• Manage the museum's rental calendar and facility availability.
• Prepare rental agreements, invoices, deposits, and event documentation.
• Coordinate timelines, room setups, vendor access, and logistical details.
• Maintain organized records of rental agreements and client communications.
• Assist with rental reporting and event metrics.

Event Hospitality

• Serve as the museum's on-site host during assigned events.
• Welcome clients, vendors, and guests.
• Work closely with the Technical Director to ensure event spaces are prepared and operate smoothly.
• Help troubleshoot event needs while maintaining a calm, professional, and solutions-oriented approach.
• Ensure every client experiences exceptional customer service from beginning to end.

Community Engagement

• Promote the Anderson Museum of Art as one of Madison County's premier venues for private events.
• Build and sustain relationships with vendors, local caterers, florists, photographers, planners, officiants, funeral directors, nonprofit organizations, and community partners.
• Assist with First Fridays, AMOA fundraisers, outreach that expands awareness of AMOA's rental opportunities.
• Represent the museum at networking events, bridal expos, community festivals, and outreach opportunities as appropriate.

Internal Collaboration

• Work collaboratively with the Executive Director, Experience Manager, and Technical Director to coordinate event logistics.
• Support museum fundraising events and community celebrations as needed.
• Help identify opportunities to improve rental operations and client experience.

Preferred Qualifications

• Sales experience
• Organized, dependable, and detail oriented.
• Comfortable managing multiple events and timelines simultaneously.
• Calm under pressure and skilled at solving problems gracefully.
• Passionate about hospitality, community engagement, and creating meaningful experiences.
• Comfortable learning scheduling software and event management systems.
• Able to work independently while collaborating effectively with museum staff.
• An equivalent combination of education and demonstratable professional sales experience is required.

Experience in hospitality, event planning, museums, nonprofits, customer service, hotels, wedding venues, conference centers, higher education, or community organizations is preferred but not required.

Schedule

20 hours per week

Regular Office Hours

• Tuesday-Friday (with as-needed flexibility for weekend for rentals and events)
• Noon-5:00 p.m.

Applicants should also have flexibility to work approximately five additional hours in the evenings or at weekends when scheduled rental events require on-site support.

Schedules will vary based on museum rentals and special events.

Compensation

This is a part-time, hourly position beginning at $22.00 per hour , with compensation commensurate with experience and qualifications.

In addition to hourly compensation, this position includes a 10% point-of-sale commission on qualifying museum rental sales, recognizing the important role this position plays in expanding AMOA's event program and community partnerships.

The Anderson Museum of Art is committed to investing in its team through scheduled performance and compensation reviews , with opportunities for merit-based pay increases as responsibilities and organizational capacity grow.

As the museum continues expanding its exhibitions, educational programming, fundraising, and event offerings, this position has the potential to transition into a full-time Events & Community Engagement role in 2027 .
