T&I Marketing Specialist 1

GAI seeks a skilled, highly motivated, results-driven Marketing Specialist to join our dynamic Transportation & Infrastructure team. This challenging and rewarding position will include coordinating the pursuit process and preparation of winning proposals, LOIs, qualifications, and presentations; producing marketing collateral; and supporting business‑development goals in collaboration with GAI's business sector leaders and marketing, technical, and administrative staff. Essential Duties and Responsibilities Participate in kick‑off meetings, proposal task scheduling, review, production, and delivery activities. Follow through with assigned proposal tasks to meet critical deadlines. Coordinate with internal and external points of contact to gather requested information and materials. Track proposal efforts and ensure scheduled milestones are met. Assist in writing marketing and technical content. Proofread to ensure continuity and compliance with legal, technical, and marketing specifications. Support presentation efforts including development, rehearsals, materials, and logistics. Maintain and populate detailed data in GAI's Deltek Vantagepoint database. Provide assistance of marketing activities to support pursuit, client, and business plan objectives and contribute to implementation, including conferences, events, sponsorships, design award submissions, speaker proposals and presentations, brochures, service briefs, project profiles, etc. Assist in carrying out other programs and projects as identified. Qualifications 5+ years of related experience as a proposal specialist/coordinator; prior AEC industry experience preferred. Associate or bachelor's degree with a focus in business, marketing, or related area. Competency Proficiency with Microsoft Word, Excel, Outlook and PowerPoint. Proficiency with Adobe Creative Suite. Deltek Vantagepoint (or similar database programs) experience is a plus. Competent proofreading and editing skills. Excellent communication and organizational skills. Able to document and process information quickly and accurately, with strong attention to detail. Flexible and able to balance priorities and manage multiple tasks simultaneously within tight schedules. Able to work both independently and as part of a team. Able to work flexible hours, including nights and weekends, on a limited basis, to meet proposal deadlines. Able to travel to surrounding states (several times throughout the year). Technical Responsibilities Collaborates under direction and supervision of senior staff across proposals, special projects, business development activities, and data management. Leads smaller or less complex to mid‑size proposal efforts, and supports larger or more complex efforts under supervision. Leads and supports special projects under direction and supervision of senior staff. Supports business‑development activities, leading smaller to mid‑size activities and supporting larger activities under supervision. Leads updates of data management systems related to assignments and may lead special data management projects. Project and Task Management Works as part of a team and coordinates work with others. Assists in determining schedule and budget requirements. Management Responsibility Assigns and oversees tasks under direct supervision of the task manager, maintaining budgets and schedules, and assists project managers with proposal preparation, scopes of work, and cost estimates. Receives guidance and oversight from task managers and project managers. Direct supervisors receive guidance and oversight from business managers and/or marketing experts. Communication Skills Possesses effective oral and written communication skills; interacts well with staff, clients, and other departments. Direct supervisors communicate effectively with employees and managerial staff regarding performance, hiring, and policy updates. Why GAI?
