The Administrative Assistant Office Manager plays a critical role in supporting multiple departments by managing daily office operations efficiently. This position requires a highly organized professional skilled in coordinating meetings, handling correspondence, maintaining records, and liaising with vendors to ensure smooth office functionality. The ideal candidate is bilingual, proficient in QuickBooks and Microsoft Office, and excels in delivering exceptional customer service without managing direct reports or travel requirements.
Responsibilities
- Prepare and organize documents accurately
- Coordinate meetings and manage calendars effectively
- Handle correspondence and customer communications promptly
- Maintain office supplies and ensure timely restocking
- Manage records and filing systems systematically
- Serve as liaison with vendors and external partners
- Oversee office maintenance and daily operational tasks
- Process must pays, scan documents, and prepare labels
- Answer phones, schedule appointments, and manage messages
- Utilize QuickBooks, Outlook, and PDF tools proficiently
Required Qualifications
- 5+ years of experience in office administration
- Associate Degree in Business Administration or related field
- Proficiency in Microsoft Office Suite and calendar management tools
- Strong communication and organizational skills
- Effective time management and problem-solving abilities
- Accurate data entry skills
- Excellent customer service aptitude
