Associate, Event and Venue Management The Event & Venue Management team is responsible for leading the integrated event operational planning at the venue level for all competition and training venues and some major non-competition venues. The venues are assigned to specific Venue “Clusters”. Each cluster is responsible for managing and coordinating the negotiation of venue agreements, site visits, the collation and organization of venue-related documentation and data, and the maintenance of strong working relationships with all venue partners. At Games Time, the Event & Venue Management team leads and manages the event teams at venues, event delivery, venue communication, and venue issue resolution. The Associate, Event and Venue Management will be responsible for supporting venue-related event operational planning, coordinating venue partner engagement, managing and distributing information, and providing project management support across a group of competition and non-competition venues. The ideal candidate will be organized and detail-oriented, with strong foundational skills in project coordination and information management, preferably in events. Analytical skills and familiarity with dashboards and reporting tools will be essential to help monitor progress and performance. Comfortable juggling multiple tasks, they will assist in coordinating venue partner information, tracking action items, managing reporting and assisting in the planning and execution of venue operations. Frequent, clear, and consistent communication with cross-functional venue teams (Venue Infrastructure, Sport, Technology, etc.) will be key to their role. This position will report to the Venue Cluster Director. Key Responsibilities Planning Period Provides admin support for all EVM cluster deliverables including preparing presentations and briefing materials, scheduling meetings and following up on any outstanding actions. Provide venue-related project management support including preparing status reports, tracking deliverables, and developing and monitoring task lists. Manages communication with venue partners in relation to site visits and requests for information on behalf of Cluster Head, exercising sound judgement to ensure messaging is appropriate for the audience. Coordinate with EVM central team to ensure cluster deliverables are actioned within the agreed time frames. Provide contract management support by documenting key agreement issues and distributing to relevant internal functional areas for resolution, summarizing key agreement provisions, and tracking timelines for contract deliverables. Coordinate the RADIO Tracker for the cluster. Actively collaborating with EVM team to address issues and challenges. Games Period Manages the Venue Operations Center (VOC), ensuring the space is maintained, presentable, and fully operational. Coordinates with FA leads to ensure the daily run sheet is accurate, up to date, and aligned with operational priorities. Manages the distribution of fit-out/bump-in passes under the direction of the EGM, ensuring appropriate control and tracking. Prepares briefing materials for the daily venue meeting, ensuring information is clear and accurate. Ensures incident management systems and tools are updated in real time to support effective decision-making, under the direction of the EGM. Prepares the daily MOC report for the EGM, ensuring timely and accurate reporting of key operational matters. Provides operational support to the EGM and Operations Managers, responding to requirements and priorities as they arise. Qualifications 2+ years of relevant experience in project coordination, data management, or operational support in a fast-paced environment such as event, sports, or complex organizational setting Ability to work successfully with varied audiences showcasing strong communication, teamwork, and interpersonal skills Ability to address and resolve conflicts effectively, especially when coordinating across diverse teams with differing priorities Extremely detail-oriented with excellent organizational, operational and program execution skills Well-developed problem-solving skills and ability to work independently, while also knowing when to seek feedback and buy-in Demonstrated ability to prioritize and contribute under pressure, see a project through to completion, and meet tight deadlines Ability to handle sensitive information with discretion Demonstrated commitment to co-creation and collaborative decision-making) Preferred Qualifications Prior experience in event planning or venue operations to understand unique challenges and requirements for high‑stakes events like the Olympics and Paralympics Physical Requirements and Working Conditions Availability to work in-person five days a week in a Los Angeles-based office The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment Ability to travel occasionally to different venues across the Los Angeles region and possibly outside the Greater Los Angeles region Expectations Collaborative and flexible approach – Ability to roll with the transitional nature of the organization as it grows, adapting quickly to changing priorities and requirements A committed team player with problem‑solving skills, comfortable working cross‑functionally with diverse stakeholder groups both internally and externally Confident self‑starter – Takes initiative to identify challenges, gather inputs from key stakeholders, and resolve challenges proactively Ability to work effectively and independently with experience in defining tasks, seeking feedback, and advancing the work forward with pace Resourceful problem solver Monitor industry trends and stay current with the latest developments to ensure a current and informed understanding of the sports and entertainment landscapes Excitement for the role and opportunity to help shape the future of Los Angeles and the Olympic and Paralympic Movement Education / Training / Certifications Bachelor's degree or equivalent work experience Compensation The annual base salary range for this position is $30.29-$35.00 hourly. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28's operational business needs and applicable law.
