Program Support Assistant

VETERANS HEALTH ADMINISTRATION

Summary

This position is located within the Health Administration Service at the Montana VA Health Care System, and provides primary administrative and operational support for Fleet and GSA Vehicle management while also contributing to general Logistics functions, including supply distribution, equipment management, and stockroom operations across all assigned facilities.

Duties

Help

Duties include, but are not limited to:

  • Coordinates the safe operation, scheduling, and maintenance of all assigned vehicles and equipment.
  • Ensures maintenance records are current and accurate for all vehicles and equipment in the fleet inventory.
  • Processes fleet travel requests and vehicle scheduling in response to customer service requirements.
  • Serves as liaison to internal customers to ensure transportation needs are identified and met in a timely manner.
  • Prepares and submits monthly, quarterly, and annual vehicle cost and utilization reports to Fleet Manager and Logistics leadership.
  • Performs supply distribution (EX) activities, including delivery of supplies, materials, and equipment to wards, clinics, operating rooms, secondary storage locations, and other facility areas.
  • Supports Non-EX (NX) supply technician functions, including equipment turn-in processing, excess equipment activities, and Equipment Inventory List (EIL) assistance.
  • Performs bar-coding, scanning, receiving, storing, and distribution of medical, surgical, and administrative supplies using automated inventory systems such as the Generic Inventory Package (GIP).
  • Manages the Fleet Manager's calendar, including scheduling meetings and appointments, coordinating conference room reservations, sending calendar invites, and developing meeting agendas as assigned.
  • Attends meetings of appropriate boards and committees as delegated by the Fleet Manager; takes meeting minutes, collects applicable information, follows up on action items, and updates agenda items for future meetings as necessary.
  • Communicates program-related matters and assists in updating and developing policies, procedures, and standard operating procedures.
  • Attains and maintains required computer skills including Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, and VA-specific systems such as VISTA. Supports data collection, compilation, and tracking activities in support of fleet and logistics program operations.
Work Schedule: Monday-Friday 7:30am-4:00pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/26/2026.

Time-In-Grade Requirement : Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 7 position you must have served 52 weeks at the GS 6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:
  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: . Strong attention to detail; ability to work under pressure, prioritize, and carry out multiple assignments simultaneously; professional knowledge of accepted practices in communications, including writing, editing, and organizing for logical and effective presentation; effective oral and written communication skills are required to provide instruction, administer special projects, and report findings to varied audiences; practical knowledge of standard supply management practices as they pertain to inventory control, material management, supply distribution, and surplus and excess equipment handling; ability to utilize and interpret relevant policies, procedures, manuals, and regulations related to supply and inventory systems; basic knowledge of stock rotation, hazard alerts, and recalls is required to ensure outdated or compromised materials are removed from use; familiarity with automated inventory systems, including bar-coding and GIP, is necessary to support the tracking of supplies and manage restocking activities; general knowledge of the names and uses of supply items, including trays, sets, and specialty carts, and a working understanding of relevant medical and surgical terminology are needed to support effective communication and operations; awareness of safe handling practices and the integration of aseptic procedures suitable for a healthcare setting; proficiency in typing and personal computer use; skill and practical experience using computer software programs designed to compile and analyze data, develop reports, and prepare written materials, including but not limited to Microsoft Word, Excel, PowerPoint, Outlook, Adobe Creative Suite, and VISTA; may be required to operate a motor vehicle to perform assigned duties.
