Pharma Project Manager

Job Title: Pharma Project Manager Job Term: Contract (12 months+) Location: 350 Tempel Lane, East Greenbush, NY 12061 – On-site 5x a week A PM with 5+ years of experience. Will need to relocate to East Greenbush, NY. No H1 "This isn't an IT Project Manager role. It's an operations/project coordination role inside a pharmaceutical manufacturing facility. You'll coordinate maintenance schedules, work with vendors, manage documentation and approvals, ensure GMP compliance, and keep maintenance projects organized so production isn't interrupted." What is the client looking for? They need a Project Manager who can coordinate people, schedules, paperwork, and vendors so maintenance work happens on time without disrupting pharmaceutical production. Think of this person as the traffic controller for maintenance activities. What will this person actually do every day? Instead of building software or managing developers, they'll spend most of their day: Example: Air filters need replacing next Tuesday. A machine needs maintenance on Friday. Another team also needs the same technicians. The PM makes sure nothing overlaps. Outside companies (vendors) come in to perform maintenance. The PM will: Tell vendors when to come Make sure they have access Ensure they have the correct paperwork Verify they completed the work 3. Coordinating with internal teams The PM communicates with: Maintenance Clean Environment team Asset Owners Everyone needs to know when work will happen. Pharma companies have a LOT of paperwork . The PM ensures forms are completed before work starts. Example: Maintenance request Safety approvals Work records Everything must be documented. 5. Inventory tracking Example: The PM checks: Do we have one in stock? If not, order it before the maintenance date. When a new contractor comes in, the PM helps them: Complete training Learn safety rules Understand company procedures 7. Attend maintenance work Sometimes they simply observe to ensure work is being done correctly and safely. Pharma companies are inspected regularly (FDA, internal quality teams). The PM helps by providing documentation and showing that maintenance activities followed the required process. Must Haves: 5+ years of experience in as a Project Manager Experience working in the Pharma space or GMP environment Scheduling and vendor coordination (main tasks) Track upcoming PM's, populate and document pre-work in BMRAM Coordinate with Clean Environment's Main Campus team (we share resources) Coordinate with Asset Owners Confirm inventory levels for HEPA replacements and parts Onboarding and training vendor support Request report templates for pre-execution and document pre-execution review in BMRAM Process AFA (Authorization for activity) work records Other tasks to support the Clean Environment's team. (as needed) Attending (oversight of vendor activities) Documentation support Audit support Quality events support Trending support A Project Manager needs strong organizational, communication, and technical skills to manage busy calendars and prevent conflicts. The core abilities required for this role include time management, attention to detail, and proficiency with calendar tools. Organizational and Administrative Skills Time Management: Balancing multiple schedules, setting clear priorities, and making sure to allocate appropriate time for execution of the work. Attention to Detail: Preventing double-booking across campuses, verifying correct dates, times, equipment and manpower. Multitasking: Handling sudden schedule changes, phone calls, and urgent requests all at the same time without losing focus. Communication and Interpersonal Skills Verbal Communication: Speaking clearly and politely with internal customers, vendors, and managers over the phone or in person. Written Communication: Writing professional emails, updating digital notes, and sending clear schedule reminders and meeting notes. Active Listening: Paying close attention to what others need and confirming details correctly before locking in a time slot. Empathy and Patience: Remaining calm and polite when dealing with frustrating situations or stressful last-minute cancellations. Technical and Software Skills Scheduling Software: Knowing how to use specialized booking tools, calendar apps, or industry-specific database systems. Office Productivity Tools: Using programs like Microsoft Excel and Outlook, Microsoft Teams, To Do or Project Pro Workspace to track and share daily plans.
