Job Title Assistant Property Manager Location Santa Monica, CA Job Description The Assistant Property Manager plays a key role in ensuring the smooth operation of the property. This role is responsible for managing building staff, handling tenant and vendor communications, maintaining property files and financial processes, and coordinating maintenance and tenant services. Responsibilities Manage building staff in the absence of the Property Manager or General Manager, including all managerial functions as directed. Handle all building correspondence to and from clients, tenants, and vendors. Maintain orderly and logical property files, including leases and contracts. Obtain aging reports and follow up on delinquencies using company or client-directed policies. Process invoices in accounting with appropriate backup and procedures. Prepare lease abstracts for all tenants and a monthly rent roll for management review. Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup. Manage above‑standard tenant work requests: obtain estimates, provide proposals, release work, and invoice tenants. Oversee maintenance of work order and purchase order systems. Develop and maintain a comprehensive Tenant Service Package, including handbooks, anniversary and holiday gifts, park events, newsletters, and training meetings. Update and maintain office procedures in the Property Operation’s Procedure Manual. Ensure Certificates of Insurance for tenants and vendors are current. Process management and maintenance staff hours, expense reports, and check requests for review and approval. Process tenant bill‑backs (e.g., electrical usage, after‑hours HVAC) in a timely manner. Assist in annual budget preparation, CAM reconciliations, monthly financial reports, and bank deposits. Lead regular inspections of properties with janitorial, landscape, and other service providers. Participate in performance oversight of all service contractors. Oversee tenant improvement work with management oversight. Experience 2+ years of real estate property management or related experience. Additional Eligibility Qualifications Active Real Estate license in the state where the property is located or RPA/CPM professional designation(s). Basic understanding of computer software programs and base building systems. Basic understanding of the reconciliation process for CAM, insurance, real estate taxes, and lease terms. Ability to assign tasks and manage others' workloads. Work Environment This job operates in a professional office environment and requires routine use of computers, phones, photocopiers, filing cabinets, and fax machines. It also requires regular travel between properties in varying weather conditions. Physical Demands The role requires occasional travel between floors, stair climbing, and walking outside between buildings. The employee may remain stationary (sit or stand) for 85% of the time and will regularly use hands to operate office machinery, walk, talk, and hear. Benefits and Compensation Salary range: $55,250.00 – $65,000.00 per year.
