Payroll Specialist

Payroll Specialist Hours: 8:00-5:00 Job Summary The Payroll Specialist provides administrative and data support to the accounting team, with a primary focus on gathering, organizing, reviewing, and submitting payroll-related information to the company’s managed payroll service provider. This role is responsible for identifying errors and discrepancies before transmission and working with managers, Human Resources, and Accounting to ensure complete, accurate payroll data is submitted on schedule. Duties / Responsibilities Collect, organize, and prepare payroll input for each pay cycle, including hours, pay-rate changes, new hires, terminations, deductions, commissions, bonuses, and other compensation items. Review payroll data for completeness, accuracy, and consistency before it is submitted to the managed payroll provider. Identify errors, missing information, duplicate entries, and unusual variances; document findings and elevate issues to the appropriate manager or department. Partner with managers, Human Resources, and Accounting to resolve discrepancies and obtain corrected information in time for payroll submission. Reconcile employee benefit invoices against benefit enrollment systems to ensure accurate employee deductions, coverage, and employer contributions. Submit approved error‑checked payroll files and supporting data to the managed payroll service provider within established deadlines. Review reports and confirmations returned by the managed payroll provider; flag exceptions and follow through until resolved. Maintain organized payroll workbooks, trackers, checklists, and supporting documentation for each pay period. Serve as a primary internal contact for routine questions from the managed payroll provider related to data submission and corrections. Support off‑cycle payments, adjustments, garnishments, and other special payroll items as directed. Assist Accounting and Human Resources with payroll‑related reporting, audits, and information requests. Handle confidential employee and compensation information with discretion at all times. Recommend improvements to review checklists, spreadsheets, and submission procedures to reduce errors and cycle time. Comfortable working with numbers and performing basic mathematical calculations. Intermediate proficiency with Microsoft Excel, including the ability to: Sort and filter data Format spreadsheets Perform basic formulas and calculations Maintain and update spreadsheets Review data for accuracy Strong organizational and time‑management skills, with the ability to manage multiple priorities and meet recurring payroll deadlines. Ability to work effectively with employees, managers, Human Resources, Accounting, and external service providers. Strong written and verbal communication skills. Strong interpersonal skills and a customer‑service mindset. Strong analytical and problem‑solving skills. Ability to perform effectively in a fast‑paced and occasionally time‑sensitive setting. Proficiency with Microsoft Office 365 (Excel, Outlook, Word, and Teams). Ability to handle confidential employees and compensation information with discretion. Preferred Experience Previous experience in payroll, accounting support, benefits administration, commissions, or employee compensation. Experience working with a managed or outsourced payroll provider. Experience with payroll or HR platforms such as ADP, Paycor, Paychex, an HRIS, or other accounting/payroll software. Experience with Excel functions such as VLOOKUP, XLOOKUP, and PivotTables. AI tools should be used to enhance and support our work, while maintaining confidentiality and safeguarding sensitive business information, employee and candidate information, and individual identities such as Microsoft Copilot, ChatGPT, and Grok. Education and Experience Two to three years of administrative, office, accounting support, payroll support, or related experience required. Physical Requirement (In Compliance with ADA) Ability to work at a computer for extended periods. Ability to sit, stand, and move throughout the office as needed. Ability to communicate effectively by telephone, email, video conferencing, and in person. Ability to occasionally lift or move office materials weighing up to approximately 5-10 pounds.
