Record Specialist

Job Summary The Record Specialist at Bushnell University reports directly to the University Registrar and processes daily functions essential to the Registrar’s Office, including transcript processing for Portage, digitization assistance, daily backup of student records, and coordination of commencement events. The role requires a strong commitment to serving students, faculty, and staff within a Christ‑centered community. Essential Position Functions Process Portage Learning requests, including importing new student information and grades, and delivering transcripts. Assist Assistant Registrar II with the digitization of paper records project. Backup daily functions of student record and academic data management, including but not limited to: FERPA permission requests Address, name, and emergency contact changes Major/minor, registration, graduation date, and withdrawal changes Waitlist processing, academic deadline petitions, and enrollment verifications Maintain course sections under the direction of Assistant Registrar III. Report enrollment and graduate data to the National Student Clearinghouse on a regular basis. Participate in commencement coordination and execution. Experience and Qualification Requirements Bachelor’s degree required, preferably in higher education management or leadership. Familiarity with Jenzabar (the university’s Student Information System) preferred. High attention to detail and ability to work independently. Active engagement in a Christian congregation and alignment with the Bushnell Theological Context for Community statement. Professional experience in higher education, with evidence of increasing responsibility, highly desirable. Proficiency with Windows and Microsoft Office applications (Word, Excel, PowerPoint, Teams). Compliance with FERPA regulations. Experience using email for organizational communication. Working Conditions / Special Requirements Demonstrated vibrant and maturing Christian faith.
