SUMMARY
The Pre-Award Grants Coordinator works with and/or assists with all levels of grants procurement at the local, state, federal, and private levels. Primary responsibility to seek new grant opportunities beneficial to KCKCC which align with institutional mission and direction. Serves as a liaison with external organizations the College contracts with for grant pursuits and internal personnel serving as Principal Investigators on assigned grants, and their support personnel.
POSITION DESCRIPTION
- Oversee, manage, and optimize all grant-seeking efforts (pre-award) and related reporting requirements. Recommend actions to enhance KCKCC grant-obtaining efforts.
- Strengthen and enhance the grant procurement and administration process, overseeing grant fundraising, writing new applications with the support of subject-matter experts, preparing and assisting with preparing progress reports, ensuring compliance with grant regulations, reviewing grant proposals, managing grant databases, engaging with donor agencies, and educating staff on grant procurement policies.
- Collaborate with designated Finance and Operations staff in the support of the grants office for all financial functions related to awarded grants, including budgets, subcontract documents, cost share, and other requirements.
- Provide guidance to ensure that proper controls and best practices are followed in the Grants Office, and provide guidance as needed on the post-award grants process.
- Collaborate with the Controller or designee to document payments and expenditures.
- Research and pursue new grant funding opportunities to meet identified goals and needs.
- Act as liaison between contracted external grant agencies and appropriate college personnel.
- Provide a high level of customer service in answering questions and gathering information.
- Develop and foster internal and external customer relations.
- Other duties assigned by the Executive Director of the Foundation or the College President.
KNOWLEDGE, SKILLS, AND ABILITIES
- Demonstrated ability to review grant and external funding proposals, ensuring that completed proposals meet all internal and external requirements before submission.
- Ability to collaborate with College departmental staff on the preparation of grant and contract proposals to be submitted to external sponsors.
- Ability to efficiently complete administrative setup of grants and contracts in the financial system utilized by the College.
- Knowledge of financial record-keeping procedures and financial integrity protocols.
- Excellent verbal and written communication skills, along with strong interpersonal and relationship-building abilities to prioritize, negotiate, and collaborate with various internal and external stakeholders.
- Detail-oriented, with excellent organizational and problem-solving skills and the ability to manage multiple projects and quickly shift priorities as needed.
- Ability to prioritize project deadlines in a self-directed environment.
- Proven ability to manage sensitive and confidential issues, exercising independent judgment, discretion, and confidentiality as required.
- Possess the ability to cooperate and contribute in a team environment, as well as successfully work individually with limited oversight.
- Ability to develop and maintain excellent working relationships and establish credibility with all levels of employees in the organization.
- Proficient in MS Office Suite (Excel, Outlook, PowerPoint, and Word).
MINIMUM QUALIFICATIONS
- Bachelor's or higher degree OR equivalent combination of education and experience.
- Two (2) years of successful experience in federal and/or state grant writing, grant management, and grant reporting.
- Two (2) years of experience (can be concurrent) in handling various accounting tasks, such as accounts payable, accounts receivable, general accounting/bookkeeping, and cash handling, and utilizing computerized accounting software, including Microsoft Office.
- Two (2) years of experience generating reports and reconciling accounts.
- Proficient in operating a 10-key with speed and accuracy, along with strong computer skills.
PREFERRED QUALIFICATIONS
- Bachelor’s or higher degree in accounting, Finance, or closely related field.
- Two (2) years of administrative experience, specifically with career and technical education grant writing.
- One (1) year of supervisory experience.

WORK SCHEDULE
40 hours per week. Must be able to work a variable schedule/hour to meet operational needs. May require evening and weekend hours.
