Position: Front Office Executive
Employment Type: Full-Time / Part-Time Work Schedule: Flexible shifts / Regular business hours / Rotational shifts (as applicable)
About the Role
We are looking for a well-presented and customer-oriented Front Office Executive to be the face of our organization. As a key part of the front desk team, you will be responsible for creating a positive first impression, managing day-to-day administrative tasks, and ensuring smooth front office operations.
This role is ideal for someone who is organized, personable, and able to multitask in a dynamic environment. Whether welcoming visitors, managing calls, or supporting internal departments, your role is essential in delivering a seamless experience.
Key Responsibilities
Guest and Client Interaction
- Greet visitors, guests, and clients in a professional and friendly manner
- Manage check-in/check-out procedures (if in a hospitality or clinic setting)
- Respond promptly to inquiries in person, via phone, and email
Communication & Coordination
- Handle incoming and outgoing calls and route them appropriately
- Coordinate with various departments to ensure timely service and communication
- Maintain a visitor logbook and issue visitor badges as necessary
Administrative Support
- Manage front office supplies, ensure inventory levels, and place orders when needed
- Receive, sort, and distribute incoming mail and deliveries
- Assist with data entry, filing, and basic documentation tasks
Facility Management
- Maintain the cleanliness and organization of the front desk and reception area
- Report maintenance or facility issues to the appropriate department
- Ensure safety and security protocols are followed for visitors and staff
Customer Service
- Provide information about the company's services, policies, or procedures
- Handle complaints and escalate issues to appropriate personnel as needed
- Create a welcoming environment for guests and clients
Qualifications
- High school diploma or equivalent; diploma or degree in hospitality or administration is a plus
- Proven experience in a front office, receptionist, or customer-facing role preferred
- Strong verbal and written communication skills
- Proficiency in MS Office (Word, Excel, Outlook) and familiarity with office equipment
- Professional appearance and attitude
- Excellent organizational and multitasking abilities
- Ability to handle sensitive and confidential information responsibly
