Campus Responsibility: College-wide, supporting both the Rangely and Craig campuses

Work Arrangement: Primarily on-site. Limited hybrid work may be considered under CNCC’s Alternative Work Arrangement process and operational needs. Most responsibilities must be completed on campus.

Travel: Occasional in-state travel, including travel to the Craig Campus and for professional development

Reports To: Procurement and Contracts Manager and Vice President of Business and Administration

Supervises: No direct reports

Job Summary:

Under the direction of the Procurement and Contracts Manager, the Business Assistant provides administrative and operational support for Colorado Northwestern Community College’s purchasing, travel, procurement card, fixed asset, copier lease, contract, and related business processes.

This position reviews and processes requests, assists departments with navigating applicable state fiscal and procurement requirements and college procedures, provides training and customer service, and coordinates assigned projects across the Business and Administration Division. The Business Assistant supports both CNCC campuses and works collaboratively with the Vice President of Business and Administration and other college departments as needed.

Duties & Responsibilities:

Evaluate and process purchasing requests in accordance with applicable state procurement requirements, fiscal rules, and internal college policies and procedures.
Review purchasing requests and determine the appropriate purchasing method or process.
Prepare and process purchase orders following review and approval by the Procurement and Contracts Manager.
Provide responsive customer service to campus departments and serve as a facilitator for timely, compliant, and cost-effective purchasing.
Meet regularly with key campus groups to understand purchasing needs, identify concerns, and assist departments with planning appropriate purchasing activities.
Coordinate CNCC travel processes and submissions.
Review travel documentation and related transactions for completeness, accuracy, and compliance with applicable requirements.
Coordinate and manage procurement card processes and records.
Oversee and review purchases made through CNCC’s Amazon Business account.
Develop and deliver campus training related to general purchasing guidelines, procedures, systems, and responsibilities.
Create clear and user-friendly purchasing instructions, reference materials, and process documentation.
Work with the Procurement and Contracts Manager and Assistant Controller to identify equipment that meets the capitalization threshold for fixed assets.
Assist with fixed asset records and the annual inventory audit.
Coordinate leased copier services for CNCC campuses, including maintaining lease information, scheduling repairs, ordering supplies, and reporting monthly meter readings to vendors.
Initiate and assist with feasibility studies, cost estimates, budgets, application documents, and other materials for assigned projects.
Build and maintain working relationships with external agencies, vendors, and partners to facilitate purchasing and assigned projects.
Assist with contract and lease schedules, records, renewals, and related administrative management.
Coordinate special projects and assigned business and administrative tasks.
Provide administrative support to the Craig Campus, Foundation Office, Academics, Athletics, Student Services, Human Resources, and other college offices as needed.
Provide college-wide support to both the Rangely and Craig campuses.
Participate in applicable training and professional development.
Travel periodically to the Craig Campus or other in-state locations as required.
Perform other duties as assigned by the Procurement and Contracts Manager, Vice President of Business and Administration, or President.

Minimum Qualifications:

Bachelor’s degree from an accredited institution or an equivalent combination of education, training, and relevant experience. Relevant experience may substitute for the educational requirement.
Minimum of one year of experience in an administrative or office support role.
Proficiency with Microsoft applications and standard office technology.
Ability to operate a computer, copier, printer, and other standard office equipment.
Valid driver’s license.
Ability to travel periodically to the Craig Campus and other in-state locations.
Ability to perform the essential duties of the position with or without reasonable accommodation.

Preferred Qualifications:

Experience working in a higher education environment or system.

Additional Information/Benefits:

This is a full-time, 40-hour-per-week position based primarily at the CNCC Rangely Campus. The position is primarily on-site. Limited hybrid work may be considered through CNCC’s Alternative Work Arrangement process based on operational needs, supervisor approval, and the responsibilities of the position.
