Evening Workforce & Economic Development Secretary

The evening Workforce & Economic Development (WED) Secretary provides comprehensive administrative and operational support for WED programs during evening hours. This position ensures the accuracy of student enrollment records, prepares instructional materials for adjunct instructors, maintains course documentation, coordinates communication among departments, and supports the successful delivery of workforce training programs.

Essential functions include advising the Director on all matters that require their attention, entering, verifying, and maintaining student enrollment information in the student information system, reviewing enrollment records for completeness and accuracy, collecting and verifying required student documentation prior to course participation, monitoring enrollment status and resolving discrepancies with appropriate departments, maintaining confidential student records in accordance with institutional policies and applicable regulations, preparing and assembling course packets for adjunct instructors, printing course manuals, instructional materials, handouts, rosters, certificates, and other required documents, ensuring instructional materials are prepared and available prior to each course, organizing and maintaining electronic and physical course files, tracking, maintaining, and verifying accurate student attendance records, assisting with course closeout procedures and maintaining completed course records, preparing reports and documentation as requested, serving as a point of contact for adjunct instructors, preparing adjunct instructor contracts and supporting documentation, coordinating distribution and collection of instructional materials, assisting instructors with classroom preparation and administrative needs, communicating schedule changes, enrollment updates, and procedural information, communicating regularly with the Student Resource Center regarding registrations, prerequisites, and enrollment issues, coordinating with Cashiers regarding payments, registrations, refunds, and account questions, responding professionally to student, instructor, and staff inquiries, ordering course books, instructional supplies, and classroom materials, maintaining organized storage of instructional materials and supplies, assisting with receiving and distributing purchased materials, assisting WED Coordinators with administrative projects and daily operations, and supporting special events, evening programming, and workforce initiatives.

Competencies include customer service and communication, organization and attention to detail, accountability and professionalism, technology and administrative proficiency, and supervisory responsibilities.

Work environment typically involves an office setting but may require work in the business and industry community and other settings. Normal hours for this position are Monday-Thursday 11:00am - 10:00pm but may require other hours to accommodate activities such as travel within the Great Plains service area, Board meetings, and representation of Great Plains at public events.

Physical demands include the ability to sit for extended periods while also being mobile across school campuses and community events, lifting and carrying materials up to 25 pounds, and using office technology for administrative tasks. Strong verbal, auditory, and analytical skills are essential for effective communication and decision-making. The role also demands the ability to handle high-stress situations and respond effectively to emergencies, crisis situations, and student altercations.

Travel required includes occasional local or regional travel for professional development, meetings, and other activities as assigned.

Required education and experience include a high school diploma or equivalency and a minimum of two years of administrative support, office management, or student services experience. Preferred education and experience include experience with student information systems.
