Job Summary
We are seeking a detail-oriented and customer-focused Medical Office Clerk / Patient Access Representative to support a busy multi-specialty healthcare department. This position is responsible for greeting patients, scheduling appointments, completing accurate patient registration, verifying insurance and benefits, processing referrals and authorizations, collecting payments, maintaining medical records, and providing administrative support to ensure efficient clinic operations.

Required Qualifications
- High School Diploma or equivalent, or 5 years of experience in a healthcare setting
- Previous clerical, office, or administrative experience preferred
- Previous medical/healthcare experience preferred
- Previous experience in a multi-specialty clinic preferred
- Strong customer service and communication skills
- Ability to maintain accuracy while handling confidential patient information
- Knowledge of HIPAA and medical records procedures
- Epic EMR experience preferred
Key Responsibilities
- Greet and assist patients and visitors in a courteous and professional manner.
- Direct patients and visitors to appropriate departments, services, and programs.
- Answer, screen, and route telephone calls and pages while maintaining professional phone etiquette.
- Schedule patient appointments and procedures accurately while minimizing patient wait times.
- Manage no-shows, late arrivals, discharges, and other scheduling-related processes.
- Register and pre-register patients while accurately verifying demographics, identification, insurance, guarantor, and billing information.
- Verify physician orders against scheduled procedures and follow up on required written documentation.
- Verify insurance eligibility and benefits using available systems and complete required forms.
- Collect co-pays, co-insurance, past-due balances, and other patient payments.
- Balance cash drawers and prepare deposits according to department procedures.
- Obtain and verify referrals and pre-authorizations and accurately document authorization information in Epic.
- Assist patients with physician-ordered referrals and follow up on outstanding services.
- Retrieve and maintain patient records and prepare charts for appointments.
- Follow HIPAA and medical-record release procedures.
- Complete patient check-out, communicate follow-up instructions, and reschedule appointments as needed.
- Accurately enter physician/provider charges and update Epic account information.
- Complete assigned work queues within established timeframes.
- Maintain and update department scheduling templates as needed.
- Collect and compile operational and patient-service data and report unresolved issues to management.
- Maintain inventory and order department supplies while following fiscal guidelines.
