Pursuit Strategy Coordinator - Team Lead

Location: Grand Rapids Department: Sales & Marketing About the Role Fishbeck is seeking an experienced and highly organized leader to oversee our Pursuit Strategy (Marketing) Coordinator team , which supports proposal development and business development efforts across the firm. This role is responsible for driving excellence in proposal delivery through strong quality control, standardized processes, and hands‑on team leadership. The individual in this position will serve as the operational lead for proposal coordination, ensuring consistency, accuracy, and efficiency across all pursuits. Success in this role requires both operational leadership and the ability to critically evaluate and improve the quality and effectiveness of proposal content. This includes guiding team performance, strengthening processes, and contributing to the clarity and strategy of client‑facing materials. What You’ll Do Lead, manage, and develop a team of Pursuit Strategy Coordinators , providing clear direction, accountability, and ongoing coaching. Oversee day‑to‑day team operations, including workload distribution, prioritization, and performance management. Establish and reinforce expectations for quality, responsiveness, and consistency across all deliverables. Provide clear, constructive feedback and coaching to support individual growth and strengthen overall team performance. Proposal Quality Control & Content Review Own and enforce quality control standards for all proposals and pursuit‑related materials. Review deliverables for accuracy, clarity, consistency, visual quality, and strategic alignment. Ensure proposals are polished, professional, well‑structured, and visually effective with thoughtful layout and clear organization. Provide meaningful, constructive feedback to strengthen messaging, positioning, and overall effectiveness of proposals. Ensure all materials reflect Fishbeck’s brand, tone, and professional standards. Identify recurring quality or presentation gaps and drive continuous improvement, including giving direction on updates to templates, layout standards, and overall proposal approach. Develop, document, and maintain standardized workflows for proposal coordination and submission processes. Streamline and improve internal processes to increase efficiency, reduce errors, and support scalability, while modernizing tools, templates and approaches as needed. Ensure consistent use of tools, templates, and systems across the team. Drive adoption of best practices and continuously refine processes based on team and business needs. Operational & Administrative Management Manage team workflows, deadlines, and resource allocation to support business development efforts. Maintain visibility into all active pursuits and ensure coordination across teams. Track and report on key performance metrics related to proposal quality, timeliness, and team effectiveness. Provide structure and organization to support a high‑functioning, deadline‑driven environment. Cross‑Functional Collaboration Partner with Business Development, Market Sector Directors, and technical teams to support pursuit strategy and execution. Serve as a key point of coordination to ensure alignment and successful delivery of proposals. Contribute to broader department initiatives related to marketing, business development, and process improvement. Required Qualifications Bachelor’s degree in Marketing, Communications, Business, or related field (or equivalent experience). 15+ years of experience leading teams in a deadline‑driven, high‑output environment such as marketing, proposal development, business development, operations, or other client‑facing production functions. Demonstrated experience managing personnel, team performance, and workload distribution. Proven ability to oversee complex, client‑facing deliverables with a strong focus on quality and accuracy. Strong writing, editing, and proofreading skills, with the ability to review and elevate written content. Demonstrated ability to develop, implement, and enforce processes and workflows. Experience with document production tools such as Adobe InDesign and Acrobat or similar platforms, with the ability to learn new systems quickly. Experience using CRM systems or similar tools to track work, workflows, or client activity. Excellent organizational, communication, and collaboration skills. Preferred Qualifications Familiarity with Deltek Vantagepoint or similar CRM platforms. Experience in the AEC industry or a similar professional services environment. Experience supporting proposal or pursuit processes in a multi‑disciplinary environment. Familiarity with SharePoint and Microsoft 365 suite. Physical & Mental Requirements Able to sit or stand at a desk for extended periods. Operate standard office equipment and occasionally transport up to 20 lbs. Maintain focus, manage multiple tasks, and respond constructively to feedback and interruptions.
