Job Summary

We are seeking an organized, reliable, and customer-focused Field Service Receptionist to join our team. As the primary point of contact for our customers and field technicians, you will play a crucial role in keeping our daily operations running smoothly. In this role, you will manage inbound phone calls, schedule and dispatch service appointments, and process customer invoices.

Key ResponsibilitiesReception & Customer Communication

• Answer incoming calls promptly in a professional, courteous, and helpful manner.

• Greet office visitors and direct them to the appropriate personnel.

• Handle customer inquiries regarding service offerings, pricing, and appointment statuses.

• Direct urgent service requests or escalated issues to the appropriate manager or technician.

Service Scheduling & Dispatching

• Schedule and confirm service calls using our field service management software.

• Coordinate technician routes to optimize transit time and improve daily service efficiency.

• Communicate real-time schedule updates, delays, or emergency service additions to field personnel.

• Follow up with customers post-service to confirm satisfaction and lock in recurring maintenance visits.

Invoicing & Administrative Support

• Generate and issue accurate invoices promptly following completed service calls.

• Process customer payments (credit cards, checks, electronic payments) and record transactions.

• Follow up on outstanding accounts receivable and assist with billing inquiries.

• Maintain organized physical and digital records of customer accounts, service history, and work orders.

• Assist with general administrative tasks, including mail distribution, inventory ordering, and file management.
