Receptionist

Hours: Monday – Friday, 8:00 AM – 5:00 PM The Receptionist serves as the first point of contact for Galyean Insurance Agency, providing a warm, professional, and welcoming experience for all call-in and walk-in customers. This role plays a vital part in supporting the agency’s daily operations by managing incoming communications, assisting with customer service tasks, and ensuring efficient administrative workflows. The Receptionist contributes to the overall customer experience by handling inquiries, processing payments, managing mail, and supporting internal staff through document handling and reporting.

SKILLS, KNOWLEDGE, AND PHYSICAL REQUIREMENTS

High school diploma or equivalent. Proficient in English, both spoken and written; bilingual skills are a plus. Minimum of 1 year of experience in a related field, or a combination of education and experience. Must obtain the required State of Texas Property & Casualty license within 90 days of hire and maintain an active, valid license for the duration of employment. Strong communication and organizational skills, with the ability to perform job duties efficiently and effectively. Proven customer service and interpersonal skills; responds with tact, urgency, and professionalism. Ability to identify customer needs and recommend appropriate agency products and services. Self-motivated with excellent time management; able to prioritize tasks and meet deadlines in a fast-paced environment. Comfortable adapting to change and managing multiple responsibilities simultaneously. Thrives in high-pressure, fast-paced environments while maintaining professionalism and composure. Demonstrated ability to multitask and remain flexible under shifting priorities. Maintains a high level of confidentiality when handling sensitive information for the customer and agency. Proficiency in Microsoft Office and job-related software; capable of operating standard office equipment. Knowledge of computer processing, general accounting, and bookkeeping. Personable, energetic, and outgoing with a professional appearance and demeanor. Physically able to perform job duties, including standing for extended periods, bending, stooping, squatting, kneeling, lifting up to 50 lbs., and repetitive hand/wrist motion. Flexibility in work scheduling, including availability for evenings, weekends, and holidays as needed.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

Uphold and exemplify Galyean Insurance Agency’s mission of "Protecting What Matters To You" in every customer interaction. Deliver prompt, courteous, and friendly service to all customers. Actively promote and cross-sell agency products and services. Greet and assist walk-in customers, directing them to the appropriate staff member as needed. Accept, apply, and accurately document customer payments in accordance with agency procedures. Answer incoming phone calls and transfer them to the appropriate personnel. Respond to billing inquiries and provide accurate, timely information to customers. Produce and distribute Evidence of Property Insurance (EPI) documents and ID cards. May be responsible for collecting and dropping off mail via the U.S. Postal Service, as well as distributing incoming faxes, emails, and voicemails to the appropriate team members. May be responsible for collecting and distributing incoming mail accordingly; prepare and place outgoing mail in the mailroom. Retrieve and process daily and weekly reports assigned by management. Assist with the submission of insurance claims. Participate in community affairs to increase Galyean’s visibility and to enhance new business opportunities.
