Blue Ridge Public Radio (BPR), the nonprofit public media company of Western North Carolina, is searching for an Office Administrator. The Office Administrator provides broad administrative and operational support to Blue Ridge Public Radio (BPR), with primary responsibility for supporting the CEO/General Manager, Senior Leadership Team, Board of Directors, and organizational office functions. The position serves as an administrative hub for the station, helping ensure that information, meetings, records, communications, and day-to-day activities are organized and handled professionally and efficiently. As a front-line representative of BPR, the Office Administrator regularly interacts with listeners, donors, sponsors, volunteers, Board members, community partners, vendors, and other members of the public. The position responds to and appropriately routes inquiries, coordinates meetings and organizational logistics, maintains records and files, supports Board and committee activities, assists with Business Sponsorship administration and billing, and provides administrative support for station events, volunteers, and other organizational needs. A successful Office Administrator is highly organized, service-oriented, resourceful, comfortable balancing competing priorities, and able to exercise sound judgment and discretion. This position requires someone who enjoys helping others succeed and takes ownership of the administrative details that keep a busy public media organization running smoothly. This is a full-time, exempt position reporting to the CEO/General Manager. Required Qualifications

- Two or more years of relevant experience in administration, office coordination, customer service, executive support, or a related role.
- Strong organizational and time-management skills, with demonstrated ability to manage multiple priorities and follow tasks through to completion.
- Excellent written, verbal, and interpersonal communication skills.
- Strong attention to detail and commitment to accuracy.
- Demonstrated professionalism, discretion, and sound judgment when handling sensitive or confidential information.

- High school diploma or equivalent combination of education, training, and experience.
- Experience providing administrative support to executives, senior leadership, Boards of Directors, or committees.
- Experience with meeting and event coordination, including preparing agendas, materials, and other supporting services.
- Experience with billing, accounts receivable, database systems, or client account administration.

What you ll do at BPR Essential Duties and Responsibilities Executive Leadership & Support
- Provide administrative support to the CEO/General Manager and members of the Senior Leadership Team as needed and directed.
- Coordinate calendars, meetings, appointments, and other scheduling involving organizational leadership.
- Assist with correspondence, documents, presentations, reports, and other administrative materials.
- Prepare for meetings by coordinating schedules, assembling materials, reserving meeting space, arranging technology, and managing other logistical needs.
- Assist leadership with special projects and administrative needs that cross departmental lines.
- Serve as an administrative liaison to BPR's Board of Directors and its Executive Committee in coordination with the CEO/General Manager and designated Board leadership.
- Maintain Board and committee calendars and rosters and coordinate meeting schedules.
- Prepare and distribute meeting notices, agendas, supporting materials, and Board packets.
- Attend designated Board and committee meetings and prepare accurate meeting minutes.
- Maintain organized and accessible Board and committee records in accordance with organizational recordkeeping practices.
- Coordinate meeting logistics, including room reservations or facility rentals, virtual meeting access, catering, technology, materials, and other arrangements.
- Assist with Board member communications, onboarding materials, contact information, and other administrative needs.
Office Administration & Audience Services
Serve as a welcoming and professional first point of contact for listeners, donors, visitors, vendors, community members, and others interacting with BPR.
- Answer, respond to, and appropriately route incoming telephone calls, general email inquiries, correspondence, and other communications.
- Receive and distribute mail, deliveries, and other incoming materials.
- Maintain organized electronic and physical filing systems and assist with records management, retention, archiving, and retrieval.
- Help ensure common office and meeting spaces are functional, professional, and appropriately supplied.
- Provide administrative support for BPR's Business Sponsorship activities.
- Prepare and process sponsorship invoices, deposits, and related billing documentation in coordination with Finance and Business Sponsorship staff.
- Assist Business Sponsorship staff with correspondence, reports, documentation, and client service/collections needs.
- Help maintain accurate information across applicable financial, sales, and customer management systems.
- Coordinate logistics for internal and external meetings, retreats, community events, donor activities, and other organizational gatherings as assigned.
- Arrange meeting and event spaces, catering, supplies, equipment, signage, registrations, and other logistical needs.
- Assist with event preparation, execution, and follow-up.
- Provide administrative support for BPR's volunteer activities, including communications, scheduling, keeping records, and coordination with staff overseeing volunteer projects.
- Help welcome and orient volunteers and ensure they have appropriate information and resources for assigned activities.
- Participate in station events and special initiatives as needed.
- Represent BPR by attending functions
- Participate in on-air fund drives and team initiatives
- All other duties as assigned
