The Practice Administrator will oversee the administrative and financial operations of the practice while partnering with the Practice Owner and supporting our clinical team. This role is designed for an experienced healthcare professional who enjoys problem solving, taking initiative, and helping a growing organization succeed.

Primary Responsibilities

Practice Operations

·         Oversee day to day office operations

·         Develop and improve administrative workflows

·         Coordinate provider schedules and office logistics

·         Ensure HIPAA compliance and maintain operational standards

·         Manage office vendors and supplies

·         Identify opportunities to improve efficiency and patient experience

Patient Services

·         Conduct new patient intake calls

·         Assist prospective clients with scheduling and service navigation

·         Resolve scheduling issues and provider conflicts

·         Manage cancellations and maintain an active waitlist

·         Address patient concerns with professionalism and compassion

Revenue Cycle Management

·         Monitor insurance claims from submission through payment

·         Investigate and resolve claim denials

·         Follow up on outstanding insurance balances

·         Process patient statements and collections

·         Reconcile payments and assist with monthly financial reporting

·         Monitor key performance indicators related to collections and accounts receivable

Payroll and Human Resources

·         Prepare payroll for processing

·         Track employee and contractor hours

·         Coordinate onboarding for new clinicians, residents, and interns

·         Maintain personnel records

·         Assist with compliance and required documentation

Technology and Reporting

·         Maintain practice management systems

·         Review CRM reports and workflow performance

·         Prepare monthly operational reports

·         Monitor referral sources and patient volume trends

·         Recommend workflow improvements and automation opportunities

Qualifications

·         Minimum three years of medical or behavioral health practice management experience

·         Experience with medical billing and revenue cycle management

·         Experience with payroll processing

·         Strong organizational and project management skills

·         Excellent written and verbal communication

·         High level of professionalism and confidentiality

·         Strong computer skills and ability to learn new technology quickly

·         Ability to work independently and exercise sound judgment

Preferred Qualifications

·         Behavioral health practice experience

·         Experience with electronic health records
