About the role The Client Operations Specialist plays an important part in the client experience by ensuring account activity is completed accurately, service requests are resolved promptly, and client-facing teams have the information and operational support they need. This role supports trust and investment operations while identifying opportunities to improve efficiency, accuracy, and scalability. Day-to-day responsibilities include client account onboarding, distributions, investment transactions, performance reporting, fees, tax reporting, cost-basis maintenance, and statement production. Working across Trust, Wealth Management, Investment Management, Compliance, and Client Service, the Client Operations Specialist helps ensure accounts are administered accurately, maintained in good standing, and supported in a timely manner. This role requires strong operational knowledge, critical thinking, attention to detail, and a continuous-improvement mindset. What you'll do Support the opening, maintenance, and closing of trust, estate, agency, investment, and custodial accounts. Process client and trust activity, including distributions, bill payments, tax payments, receipts, transfers, trades, and other transactions. Manage investment and custodial accounting for client activity and holdings. Support performance reporting, fee calculations, cost-basis maintenance, tax-lot accounting, tax reporting, and alternative investment processing. Reconcile account activity and resolve discrepancies involving cash, holdings, transactions, pricing, performance, and client data. Coordinate monthly client statement production and distribution. Maintain accurate account and investment data across trust accounting, portfolio accounting, custodial, and client relationship management systems. Partner across departments to address client needs, resolve operational issues, and ensure accounts remain current and in good standing. Evaluate workflows and implement automation, standardized procedures, and controls that improve efficiency, accuracy, and scalability. Identify the root causes of recurring issues and develop sustainable operational solutions. Maintain process documentation and support system implementations, conversions, testing, and data-validation initiatives. Complete operational projects and other responsibilities as assigned. Qualifications Associate or bachelor’s degree in accounting, finance, business, or a related field preferred. Five or more years of financial-services operations experience. Experience in trust operations, investment operations, custodial accounting, or wealth management preferred. Working knowledge of trust accounting, investment accounting, performance calculations, cost basis, tax lots, fees, and transaction processing. Demonstrated experience improving processes, automating workflows, or implementing operational solutions. Strong analytical, problem-solving, organizational, and communication skills. Detail-oriented, service-minded, and able to manage competing priorities in a fast-paced environment. Ability to work independently and collaboratively across teams. Intermediate proficiency with Microsoft Excel.
