As a Procurement Transplant Coordinator, you will provide primary medical care to authorized organ donors in hospital Intensive Care Units and OneLegacy recovery facilities. The care consists of managing hemodynamics and pulmonary function to secure perfusion and oxygenation to the lifesaving organs for transplant. Summary of Functions The Procurement Transplant Coordinator I (PTC-I) is the clinical professional responsible for all aspects of the organ procurement process at a hospital within OneLegacy’s DSA and at a OneLegacy Recovery Center. The PTC-I’s responsibility begins with assisting hospitals to identify and report potential donor referrals and proceeds through the organ recovery procedure. The PTC-I is responsible for reinforcing and supporting all processes of donation as outlined in the Uniform Anatomical Gift Act (UAGA). The clinical element requires direct medical donor care, with an emphasis on assessment, resuscitation, physiological management, organ allocation, documentation, packaging and labeling of organs for transplant or research at the time of recovery. The PTC-I directs the medical treatment regimen to meet the assessed needs of the donor in accordance with established medical practices, the donor requirements, policies & procedures, and the practices and goals of OneLegacy. The PTC-I will identify and support the psychosocial needs of donor families and loved ones with direct aid from OneLegacy family support teams. Administrative, training, and regulatory responsibilities are included within this vital role at OneLegacy. The PTC-I will support hospital development in his/her assigned hospitals and conduct professional and public education presentations about organ, eye and tissue donation. The PTC-I is delegated the administrative authority, responsibility, and accountability necessary for carrying out assigned duties. Duties and Responsibilities Essential Job Functions Referral Management Process Respond promptly and appropriately to potential donor referrals to assess suitability and enhance the donation process. Establish and enhance relationships with hospital staff to increase referral activity. Introduce yourself to the referred patient’s bedside nurse and the unit’s charge nurse; advise them before leaving the facility. Collaborate with the RTS, CRS, SOP, Medical Director of Referral Management and/or clinical leadership to manage active referrals. Access and review the referring hospital’s medical records; transcribe appropriate information to digitalDONOR fields. Consult hospital staff to evaluate current organ function and identify early stages of medical derangements. Formulate a treatment plan under the direction of the Medical Director of Referral Management. Advocate on behalf of potential donors and families for interventions to preserve donation opportunity and optimize organ function. Make written and oral reports/recommendations to attending physicians, transplant physicians, medical director, consulting intensivist, and CRS. Develop and communicate a plan for continuity of care throughout the referral progression. Review medical‑legal documentation of brain death declaration for completeness and accuracy; direct revisions if needed. Complete administrative duties such as digitalDONOR charting, forms, and required documentation. Implement and maintain established policies, procedures, quality assurance, safety, environmental and infection control measures. Family Support Process Identify the Authorizing Party and language requirements; document family dynamics and relevant information. Collaborate with hospital care team, RTS, and Family Care Specialist Resources in end‑of‑life discussions. Discuss authorization elements with the AP and/or family members. Obtain authorization for donation per UAGA and verify required medical‑legal documents. Complete Donor Risk Assessment Interview and collect any follow‑up information. Organ Donation Process Respond to donor referrals or assigned cases at shift start. Obtain accurate medical information for evaluation of potential organ and tissue donors. Discuss and support the donation process with families or the Authorizing/Acknowledging Party. Coordinate all aspects of donor management. Ensure accuracy and completeness of charting in the hospital and OneLegacy EHR. Collaborate with Medical Examiner/Coroners, tissue recovery staff, hospital staff, social services and clergy. Coordinate logistics for multiple organ procurements and allocation; communicate with Donor Allocation Coordinator. Verify completion of all required medical‑legal documentation per OneLegacy and credentialing guidelines. Provide organ allocation staff with required information. Document all charting during OR recovery and post‑recovery; complete Confidential Donor File at case conclusion. Donation Development Process Review Not Brain Dead Status Board while in a hospital for an active referral. Participate in “Presence with a Purpose” with the Donation Development Coordinator to educate hospitals. Coordinate scheduled education on donation and transplantation in partnership with the DDC. Participate in OneLegacy signature events such as the Donation and Transplantation Symposium, Donate Life RunWalk, etc. Promote positive relationships with hospital and clinical staff. Participate in hospital meetings to present information or address donation process issues. Join hospital‑sponsored clinical rounds and conduct other case‑finding activities. Debrief with the Donation Development Coordinator after a case. OneLegacy Recovery Center Responsibilities The PTC‑I will attain PTC‑II status through demonstrated proficiency and documented competencies in all organ operations at OneLegacy’s recovery center within 24 months of hire. Personnel Functions Maintain professional conduct with internal and external customers. Cooperate with other personnel to achieve company objectives and maintain good employee, interdepartmental, and public relations. Meet and solicit advice from medical directors, supervisors, donor management, and relevant staff concerning donor patient care. Maintain effective and friendly working relationships with health professionals, physicians, consultants, and family members involved in every donation process. Work Schedule Responsibility Share schedule responsibility with other PTC‑I staff; seven 12‑hour shifts per pay period every two weeks. Take additional work time and shifts as needed to uphold OneLegacy’s mission. Travel within the Donor Service Area for referrals or donor cases. Give verbal report to incoming OneLegacy staff when assignments complete. Carry OneLegacy‑issued electronic devices and case materials on shifts; ensure proper functioning. Ensure location services on issued devices work properly during shifts. Other Responsibilities Stay professionally current with needed certification or licensure. Comply with UNOS policies, standards and requirements. Attend staff meetings and scheduled trainings except protected time off. Support OneLegacy’s Standards of Professional Conduct; exemplify mission, vision and values. Observe a code of ethics requiring truthfulness, honesty, personal integrity and professionalism. Perform other duties as assigned. Knowledge, Skills, and Abilities Assume responsibility without direct supervision; exercise initiative, judgment, and decision making within scope. Maintain accurate records; perform statistical analyses and interpret data. Keyboarding proficiency for personal computer use. Interpersonal skills to deal with all levels of management and staff. Excellent written and oral communication skills, including public presentations. Instructional skills in written and verbal forms. Perform patient transfers and heavy lifting up to 50 pounds. Function as a competent team member. Maintain confidentiality of all donor‑related information. Job Qualifications and Requirements Education: RN or RT (Bachelor’s degree preferred). Candidates not licensed RN or RT may be considered at COO/CIO discretion. Experience: Critical Care patient management (ICU, OR, ER, pre‑hospital) required. Certification/License: Must reach PTC‑II status within 24 months of hire; BCLS required at employment; ACLS and PALS within orientation period. California driver’s license and insurance required. Equipment: Must use office equipment (PC, fax, calculator, scanner, phone, audio/visual). Reliable automotive transportation required. Salary Range $93,276.82 - $119,779.21 The above salary range is a general guideline; OneLegacy considers various factors such as scope, responsibilities, and candidate experience when determining base salary.
