Our busy, customer-focused engineering firm is seeking a detail-oriented, proactive Accounts Receivable Accountant to join our team. This role supports the financial health of the business by maintaining accurate customer accounts, coordinating timely billing, and managing collections while building positive customer relationships.

The Accounts Receivable Accountant works closely with accounting, sales, and service teams to ensure invoices are accurate, payments are properly applied, and outstanding balances are resolved promptly. The ideal candidate combines strong accounting skills with clear communication, sound judgment, and a practical approach to problem-solving.

Responsibilities & Duties

Customer Billing & Account Management

·         Prepare, review, and process customer invoices accurately and on time.

·         Coordinate with sales and service teams to confirm billing details, supporting documentation, and customer requirements.

·         Maintain accurate customer records, billing information, and payment terms.

·         Research and resolve billing discrepancies, short payments, and customer account questions.

·         Prepare customer statements and provide invoices or supporting documentation as needed.

Cash Receipts & Collections

·         Record and apply customer payments, including checks, ACH payments, credit cards, and wire transfers.

·         Research unapplied payments and resolve discrepancies to keep customer balances accurate.

·         Monitor accounts receivable aging and follow up consistently on past-due balances.

·         Communicate professionally with customers to resolve payment issues while maintaining positive relationships.

·         Document collection activity, payment commitments, and account concerns.

·         Escalate overdue accounts and potential collection risks to accounting leadership.

Reconciliation & Financial Reporting

·         Reconcile accounts receivable balances and supporting records to the general ledger.

·         Assist with month-end close, including accounts receivable reconciliations and reporting.

·         Prepare aging reports and account summaries to support cash-flow visibility and collection priorities.

·         Research and coordinate the resolution of customer credits, overpayments, and account adjustments.

·         Maintain organized records and supporting documentation for internal review and audit requests.

Team Collaboration & Process Improvement

·         Partner with accounting, sales, and service teams to resolve issues that delay billing or payment.

·         Identify opportunities to improve billing accuracy, collection follow-up, and accounts receivable processes.

·         Follow established accounting procedures and internal controls.

·         Assist with other accounting responsibilities and special projects as needed.

Qualifications & Skills

·         Associate’s or bachelor’s degree in accounting, finance, or a related field preferred; equivalent relevant experience considered.

·         Two or more years of accounts receivable or related accounting experience preferred.

·         Previous accounting experience in an HVAC, mechanical contracting, or related service organization preferred.

·         Experience with Sage 100 accounting software preferred.

·         Understanding of accounts receivable processes, account reconciliation, and general accounting principles.

·         Proficiency in Microsoft Excel and experience using accounting software.

·         Strong attention to detail and a commitment to accurate, timely work.

·         Excellent written and verbal communication skills, including the ability to handle collection conversations professionally and tactfully.

·         Ability to investigate discrepancies, follow through on outstanding issues, and manage multiple priorities.

·         Strong organizational skills and the ability to work independently while collaborating across departments.

·         Proactive, dependable, and solution-oriented approach.
