Payroll Specialist

Job Description

ProspectBlue has partnered with a reputable company in Richmond, VA and is seeking a detail-oriented and organized Payroll & HR Specialist to manage payroll processing while providing administrative support to the Human Resources department. This role is ideal for someone with hands-on payroll experience who also has a strong understanding of HR processes, including employee onboarding, offboarding, and maintaining employee records.

The ideal candidate is dependable, discreet, and highly organized, with a strong commitment to accuracy, confidentiality, and providing excellent employee support. Experience with Paychex is strongly preferred.

Key Responsibilities:

Payroll Administration

o Process and administer payroll accurately and on schedule for all employees.

o Review and verify employee time records, hours worked, pay rates, deductions, and other payroll-related information.

o Maintain accurate payroll records and employee compensation data.

o Assist with payroll tax reporting, reconciliations, and year-end payroll activities as needed.

o Respond to employee questions regarding paychecks, deductions, and payroll discrepancies.

o Ensure payroll practices comply with applicable federal, state, and local regulations.

o Maintain the confidentiality and security of payroll and employee information.

Human Resources Administration

o Coordinate employee onboarding, including preparing paperwork, collecting required documentation, and assisting with new-hire setup.

o Manage offboarding processes, including employee documentation, status changes, and coordination of final payroll information.

o Maintain and update employee personnel files, HR records, and employee information in applicable systems.

o Assist with benefits administration, employee status changes, and other routine HR processes.

o Support the preparation and maintenance of HR documents, forms, policies, and procedures.

o Assist with tracking employee information, required documentation, and important HR deadlines.

o Provide administrative support to the HR department and assist with special projects as needed.

o Serve as a professional and helpful point of contact for routine payroll and HR-related questions.

Qualifications:

o Previous experience in payroll processing and administration.

o Experience supporting HR functions, including onboarding, offboarding, and employee record management.

o Paychex experience preferred.

o Working knowledge of payroll procedures, employment documentation, and applicable payroll requirements.

o Proficiency in Microsoft Office, particularly Excel, and general computer applications.

o Strong attention to detail and excellent organizational and time-management skills.

o Ability to handle confidential information with discretion and professionalism.

o Strong written and verbal communication skills.

o Ability to manage multiple priorities, meet deadlines, and work independently while supporting a team.
