Construction Accounting Admin - Weekly Pay, QuickBooks (01545)

Adecco Staffing is working with a growing construction company to bring on an experienced AP/AR Administrator. This position will support day-to-day accounting and financial administration while working closely with Project Managers, clients, subcontractors, vendors, and internal accounting teams. The ideal candidate will have strong organizational skills, attention to detail, and experience working with accounting and project management systems.

Shift: Monday – Friday, 8:00am – 4:30pm

Pay: $25.00 – $30.00/hour depending on experience

Location: Hopkinton MA

Job Duties:

· Manage day-to-day accounts payable and accounts receivable administration

· Serve as a point of contact for clients, subcontractors, and vendors regarding financial matters

· Receive, organize, file, and distribute vendor and subcontractor invoices to Project Managers for review

· Track AMEX, Home Depot, and gas account spending for invoicing and payables

· Prepare pay application books for Project Manager review and submission

· Assist with processing subcontractor change orders as needed

· Manage lien waivers and other documentation required for subcontractor and vendor billing and payments

· Set up new projects in QuickBooks and PROCORE

· Enter and maintain AP and AR information in QuickBooks and PROCORE

· Update subcontractor cost codes and assist Project Managers with accurate coding

· Maintain and audit subcontractor insurance certificates, W-9s, and lien waivers

· Enter financial information into QuickBooks and assist with accurate job cost tracking

· Assist with monthly project billing in AIA format and coordinate supporting documentation for client submissions

· Prepare financial reports related to AP, AR, job costing, and account reconciliations

· Maintain organized digital and physical filing systems and ensure accurate document retention

· Provide administrative support to Project Managers, Operations, and Accounting teams

· Communicate professionally with clients, vendors, subcontractors, and internal teams

· Maintain confidentiality and accuracy when handling financial information

· Perform additional administrative and operational duties as assigned

Requirements:

· Previous accounts payable, accounts receivable, billing, or accounting administration experience

· Proficiency with Microsoft Office, including Excel, Word, and Outlook

· Experience with QuickBooks required

· Experience with PROCORE preferred

· Experience with Dropbox or similar document management systems

· Strong organizational and time management skills

· Excellent attention to detail and accuracy

· Ability to manage multiple projects and priorities in a fast-paced environment

· Strong written and verbal communication skills

· Professional and responsive communication with clients, vendors, and subcontractors

· Ability to maintain confidential financial and company information

· Construction industry or project accounting experience preferred

Pay Details: $25.00 to $30.00 per hour
