The Assistant Operations manager professional supports administrative and operations within a cross-functional operations team and dedicated administrative team. Reporting to the General Manager, or Operations Manager, this role coordinates workflows, maintains accurate records, communicates with vendors, prepares reports when necessary, and helps resolve operational issues involving supplies, inventory, scheduling, billing, and customer service. The ideal candidate is organized, diligent, reliable, professional, and able to multitask and work effectively under pressure.

Responsibilities

• Provide day-to-day administrative and customer operations support.
• Assist operation manager on workflows and track process progress across teams.
• Complete accurate data entry and maintain operational records.
• Document processes and support permits and inspections procedures.
• Manage COI'S and vendor credential requirements.
• Prepare routine operational reports using Microsoft Excel and spreadsheets.
• Use customer relationship management systems and scheduling software to support operations.
• Help resolve vendor and supply issues, inventory discrepancies, scheduling conflicts, billing delays, and customer service escalations.

Required Qualifications

• Background of business administration
• Background in a trade contractor company (electrical preferable) Administration. coordinator or operations

Preferred Qualifications

• Minimum 4+ years of experience in operations coordination.
• Proficiency with Microsoft Excel and spreadsheets.
• Experience with customer relationship management systems and scheduling software.
• Knowledge of operations management, process documentation, and data analysis.
• Experience with inventory management and vendor management.
• Strong written communication and problem-solving skills.
• High attention to detail.
• Ability to multitask, remain reliable, and work under pressure.
• Customer service experience and a professional approach.
