Assistant Facilities Manager

Responsibilities Lead and supervise the soft services team (reception, mail operations, meetings & events, cleaning, waste & recycling, vending & food services) across multiple client sites. Monitor and maintain office equipment and supplies for efficient operation. Coordinate regular meetings with vendors to resolve issues, provide recommendations and prepare cost estimates. Conduct weekly walk‑rounds with vendor cleaning managers to verify compliance with cleaning quality standards. Manage Trouble Ticket (Remedy) requests and ensure timely customer service in line with service level agreements. Oversee daily health & safety responsibilities, maintaining schedules and records for fire and safety teams, fire drills, safety equipment and training. Provide travel and visitor support by working with local hotels and assisting global travel & hotel managers. Assist in organizing internal and external client events, ensuring high quality of conferencing, food and kitchen facilities. Raise purchase orders and manage Wiki pages and other communication channels to support site coordination and administrative tasks. Identify, recommend, and implement process improvements to enhance service delivery and operational efficiency. Qualifications High School Diploma or equivalent, or a 4‑year degree with at least two years of proven experience as an assistant facilities manager or coordinator. Experience in commercial real estate management (third‑party provider, corporate, or consultant). Proficiency in using a Computerized Maintenance Management System (CMMS). Must reside in the Bay Area with reliable transportation for on‑site client visits. Excellent customer, computer, managerial, verbal, and written communication skills with the ability to multi‑task and organize responsibilities across a portfolio. Understanding of basic mechanical and electrical systems; computer proficiency in Microsoft Office Suite. Ability to work independently and handle stressful situations while remaining self‑motivated, confident, energetic, and flexible. Goal‑oriented focus on meeting performance targets and adapting to rapid changes. Preferred Qualifications Military service or higher education related to business, hospitality, facility/property management. Experience with Corrigo CMMS. Experience organizing internal and external client events with conference, food, and kitchen coordination. Knowledge of Wiki pages and purchase order processes. Understanding of Building Operations Engineer/Facilities Manager responsibilities and the ability to deputize/cover when needed. Experience with travel & visitor support coordination, working with local hotels and global travel managers. Knowledge of health & safety compliance and record maintenance for fire safety teams.
