Location: Overland Park, KS
Job Type: Fulll time   (Part-time would be considered of 24-32 hours per week)
Schedule: Monday through Friday, Daytime Hours Only  (No Evenings, Weekends, or Holidays)

We are seeking a friendly, detail-oriented Medical Office Specialist to join our team and support both front office operations and clinical services within our innovative Spravato treatment program.

Position Summary

The Medical Office Specialist is a hybrid role that combines medical office administration and patient support responsibilities. This position serves as a key point of contact for patients, ensuring a positive experience from check-in through follow-up care while assisting with clinical coordination and treatment support.

The ideal candidate is organized, compassionate, professional, and committed to delivering outstanding customer service in a team oriented behavioral health setting

Schedule

• Monday - Thursday: 8:30-5:30 pm
• Friday: Flexible schedule based on weekly hours and patient needs
• Unpaid lunch break (30 minutes to 1 hour)
• Two paid 15-minute breaks

Pay & Benefits

• Pay Range: $17-$25 per hour
• Annual pay raises (discretionary)on anniversary date of hire + gift card
• Health Plan Insurance: 80% company paid 20% employee paid (available after 30 days)

Key Responsibilities

Front Office & Administrative Duties

• Welcome and check in patients with professionalism and warmth.
• Verify and update patient demographics, insurance information, pharmacy information, and patient portal enrollment.
• Collect copays, self-pay balances, and outstanding account balances.
• Schedule and confirm patient appointments.
• Answer incoming calls and provide exceptional customer service.
• Respond to voicemail messages promptly.
• Manage patient records and documentation within the electronic medical record (EMR) system.
• Assist with insurance verification, prior authorizations, and appeals.
• Maintain patient waitlists and ensure scheduling accuracy.
• Support daily office operations and administrative workflows.

Clinical Support Duties

• Educate patients about Spravato treatment and clinic processes.
• Perform patient intake procedures and gather health information for provider review.
• Obtain and document vital signs accurately.
• Monitor patient status and communicate concerns to providers.
• Administer psychiatric rating scales and document results.
• Assist with chart reviews and treatment documentation.
• Coordinate medical records and treatment-related information.
• Maintain a therapeutic, welcoming, and healing environment for patients and families.
• Provide compassionate, confidential, and non-judgmental support to individuals receiving behavioral health services.

Qualifications

Required

• High school diploma or equivalent
• Reliable attendance and punctuality.
• Strong customer service and communication skills.
• Excellent computer and data entry skills.
• Strong attention to detail and organizational skills.
• Professional phone etiquette.
• Knowledge of medical terminology and healthcare office procedures.
• Understanding patient confidentiality and HIPAA requirements.
