As our Client Care & Bookkeeping Specialist, you'll be the first face people see when they walk through our doors, the first voice many clients hear when they call, and one of the last lines of accuracy before money moves. This role is a true blend of front office, client care, and bookkeeping. You'll move between welcoming visitors, answering client questions, supporting billing follow-up, processing payments, and improving the small workflows that keep the office and finance operations running smoothly. As a member of the Finance and Administration team, this role reports directly to the Controller.

• Beyond the general profile, the right person for this seat: 
• Finds equal satisfaction in a warm handshake and a balanced ledger — this role genuinely requires both, and you don't find that weird at all. 
• Gets quiet about details. You slow down on AR entries and deposit reconciliations because you know a $50 error today is a $500 conversation later. 
• Spots the manual task and immediately starts thinking about automating it — you've probably already built yourself a spreadsheet shortcut or two that no one asked for. 
• Reads a room. You can warmly redirect a confused vendor and then switch back to a collections follow-up without losing either thread. 
• Covers gaps without drama. When the Office Manager is out, the front office doesn't feel it — because you've already thought through what needs to hold. 
• Has handled accounts receivable before and knows the difference between a gentle first-touch and a firm final notice. 
• Stays calm and warm when a client calls frustrated. You know that how you handle a difficult moment shapes that relationship more than any invoice ever will. 
• Follows up on client inquiries without being chased. If someone sends an email or leaves a voicemail, it doesn't fall into a void — you close the loop. 

You'll Do Things Like… 

• Partner with the Office Manager to deliver a front office experience that reflects RTA's culture — welcoming, organized, and professional. 
• Welcome visitors, candidates, customers, and vendors with warmth and professionalism; answer and route incoming calls; manage mail and deliveries. 
• Serve as a first point of contact for inbound client calls and emails — answering questions, routing complex issues to the right team, and ensuring every client feels heard. 
• Log and track client inquiries to ensure timely resolution and nothing falls through the cracks. 
• Support clients navigating billing questions, payment options, and account status with patience and accuracy. 
• Process accounts receivable payments and remote deposits accurately and on time. 
• Perform collections, dunning, and other AR-related activities. 
• Provide seamless front office coverage during planned Office Manager absences. 
• Occasionally coordinate business travel — flights, hotels, rental cars, itineraries. 
• Support meetings, events, shipping/receiving, and administrative projects. 
• Identify and implement opportunities to improve workflows through automation, AI, and continuous improvement.

• At the end of your first year, here's how we'll know you nailed it: 
• The front office consistently delivers a welcoming, organized, and professional experience that reflects RTA's culture — visitors, candidates, and vendors leave with a positive impression every time. 
• Payments, deposits, and collections are processed accurately and on time, with AR aging staying clean and exceptions escalated proactively. 
• Front office coverage is seamless during planned Office Manager absences — no dropped balls, no panicked scrambles. 
• At least two recurring administrative processes have been measurably improved — faster, more accurate, or less manual — through automation, AI, or workflow redesign. 
• Inbound client contacts are acknowledged promptly, routed correctly, and resolved or escalated without clients having to follow up twice. 

This Role Is NOT for You If… 

• You prefer to specialize in one thing. This seat is equal parts front desk, client care, and finance — if you want to do just one, this isn't it. 
• You need heavy structure and detailed direction to get started. We expect you to see what needs doing and do it. 
• You find small talk draining. A big part of this job is making people feel genuinely welcome, and that can't be faked. 
• You're uncomfortable with follow-up. Whether it's a collections call or a frustrated client email, you have to be willing to engage with both firmness and tact. 
• You want a fully remote or hybrid arrangement. This role is in-office, full-time, because it has to be. 

Qualifications 

OK, the boring HR part of the job posting that looks like every other posting out there…but it's necessary. 

Required: 

• High school diploma or equivalent. 
• 2–4 years of bookkeeping, AR, accounting support, office administration, or similar experience. 
• Customer service or front desk experience, including handling inbound calls and emails from clients. 
• Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams). 
• Excellent organization, communication, and attention to detail. 

Preferred: 

• Associate's degree in Accounting, Business, or related field. 
• Accounting/ERP software experience. 
• Business travel coordination experience. 
• Remote deposit capture and online banking experience. 
• Experience improving processes through automation or AI tools.

Hourly compensation for this role is $25.00–$35.00 per hour, depending on experience, skills, and qualifications. This is a full-time, in-office position at RTA Headquarters in Glendale, Arizona, Monday through Friday, 8:00 AM–5:00 PM. Because this role supports our front office, it is not eligible for remote or hybrid work. This position is classified as non-exempt and is eligible for overtime pay.
