Office Administrator

Job Title

To support business growth through execution of daytime dispatching and office administration.

Objectives

Answer 100% of inbound calls

• Capture all relevant information for dispatching resources for tow calls
• Provide information for insurance companies as needed
• Provide customer service and guidance for all callers

Successfully dispatch tow and recovery resources

• Capture 100% of relevant information for each call
• Deliver accurate quotes on 100% of calls
• Dispatch tow and recovery resources within 5 minutes for 95% of calls

Ensure 100% of invoices are billed within 48 hours

• Review previous day's calls
• Send or submit invoices for relevant calls

Complete impound management tasks 100% on time

• Keeps impounded vehicles moving through the statute stages
• Assists in releasing property and vehicles

Ensure the Director of Operations can use 50% or more of their time on the team, strategy, execution, and sales

• Take the lead on paperwork flow, invoicing, accounts receivable activities, and other administrative processes
• Assist with Director's schedule, team schedule, onboarding new team members, and communicating with the team

Qualifications

• Education: High school diploma required, college degree preferred
• Experience: 2 or more years supporting a manager and business operations
• Affinity for technology; proficient in Microsoft 365
