About the role: The Payroll Specialist is responsible for the accurate and timely processing of bi-weekly payrolls for nonprofit agency partners. This role maintains employee payroll records, administers payroll-related benefits and deductions, provides exceptional customer service, and supports payroll compliance. The Payroll Specialist works closely with the Payroll Supervisor and assists with special projects and additional duties as assigned. What you will do: Process bi-weekly payrolls accurately and within established deadlines for multiple agency partners. Responsible for the accurate entry, maintenance, and processing of employee payroll records, including compensation data, hours worked, bonuses, deductions, tax withholdings, address updates, and other employee information, to ensure timely and accurate payroll administration. Reviews timesheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies. Maintains and processes employee data in the Company Mileage system, including employee access management, approval group administration, record updates, and payroll-related reporting to ensure accurate mileage reimbursement processing. Processes and distributes original and replacement payroll payments, including paper checks and direct deposits, to address payroll corrections, employee separations, and other payment-related matters, ensuring accuracy and timely resolution. Supports employee benefit enrollment activities, including new hire enrollment, qualifying life event changes, and annual open enrollment, ensuring accurate plan elections and compliance with benefit program requirements. Performs monthly reconciliation of payroll deductions against insurance carrier invoices, verifying the accuracy of employee benefit elections, premium deductions, and employer contributions. Serves as a point of contact for payroll-related questions and issues, ensuring prompt resolution while maintaining the highest level of confidentiality, accuracy, and customer service. Compute wages, deductions, and benefit allocations as needed. Issue and record adjustments to pay related to previous errors or retroactive increases. Keep Up to date about changes in tax, deductions, or payroll laws that apply to the payroll process. Performs other duties, responsibilities, and special Projects as assigned. Requirements What you bring: Associates degree, bachelor’s degree preferred or equivalent. 2-3 years of Payroll or Bookkeeping Ability to navigate various computer systems and payroll software. Helpful to have prior experience in Windows, MS Office, EXCEL, Outlook, UKG Ready, Company Mileage and DocStar. Ability to think critically and problem- solve. Basic Knowledge of Generally Accepted Accounting Principles and be able to perform basic accounting functions. Experience should include an understanding of, or ability to learn, Federal & State Payroll Tax withholdings, benefit deductions, and garnishments. Excellent organizational skills and attention to detail. Maintain a professional/ respectful appearance and attitude and always represent the Company in such a manner. Must be discreet with confidential information. Summary Predominately sedentary office position with high frequency of keyboarding/computer work required.
