Administrative Specialist I (S)

This Processing Assistant IV position is located in the Asheville VR/IL Unit office in Buncombe County. The primary purpose of this position is to provide administrative assistance and general office support to Rehabilitation Counselors and other personnel in the Asheville office providing vocational rehabilitation services to persons with disabilities.

Job responsibilities include the following:

  • Greeting visitors and callers courteously and professionally, to include contact with staff, vendors, other departments and the public
  • Using a multi-line phone system to answer and route calls to appropriate staff members
  • Preparing documents, maintaining spreadsheets, inputting data, and completing billing processes for assigned staff
  • Receiving applications from clients, requesting and obtaining medical/treatment records, scheduling appointments, setting up case files, filing, and creating written correspondence
  • Documenting client information, interactions, and services into the case management system throughout the rehabilitation process
  • Utilizing office equipment and other relevant technology (software and systems) to meet office needs
  • Providing other support as designated by the Rehabilitation Counselors and completing all related administrative tasks

Salary Grade Range $39,244 - $68,679

Recruitment Range $39,244 - $49,000

**Position is eligible for a hybrid-teleworking schedule to include weekly onsite work hours**

The Knowledge, Skills, and Abilities (KSAs)/ Management Preferences are not required. Applicants who possess the following skills are preferred:

  • Knowledge of and/or experience working with people with disabilities
  • Knowledge of and/or experience utilizing electronic case management systems
  • Flexibility and experience organizing multiple priority assignments in a fast‑paced setting
  • Experience working with the public in a professional manner and in team settings

Veterans' and National Guard Preference

  • Applicants seeking Veteran's Preference must attach a DD-214 Member-4 Form (Certificate of Release or Discharge from Active Duty) to their applications.
  • Applicants seeking National Guard Preference must attach an NGB 23A (RPAS), along with the state application, if they are a current member of the NC National Guard in good standing.

Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
