Summary:
- The Phlebotomy Services Coordinator performs phlebotomy duties and also acts as the area lead under the direction of the laboratory supervisor or manager. The Coordinator is responsible for the monitoring and coordinating the workflow of the phlebotomy section of the inpatient and/or outpatient laboratories assigned by redirecting personnel resources to ensure the smooth care of patients. The incumbent will be responsible for ordering and maintain supplies and equipment, orienting/training staff, and maintaining policies, procedures and quality performance practices. The Coordinator assists internal and external customers with information, reports and services.
Responsibilities:
SERVICE ORIENTATION: Demonstrates courtesy and respect for patients, visitors, and employees to fulfill our service mission. Anticipates customers' concerns and needs by asking if they need assistance, as required. Responds promptly and follows through to meet customer needs, as required. Preserves confidentiality, privacy and dignity of patients and visitors, according to hospital policy. Cooperates with and demonstrates respect for all hospital services and personnel. Provides or facilitates in providing a clean, safe, quiet and secure hospital environment for all.
PATIENT CARE AND SUPPORT: Approaches and communicates with all patients in a polite and cheerful manner during interactions. Always identifies self and explains the procedure to patient as necessary to allay concerns or fears. Provides for patients' physical needs during interactions to ensure comfort and safety. Provides emotional support by listening to patients. Skillfully and attentively uses sterile technique in performing phlebotomy. Responds to patient's requested needs and refers requests to appropriate personnel. Obtains specimens in appropriate containers, ensuring proper specimen conditions, preservation, timing and fasting requirements. Follows correct protocol when unable to obtain specimen.
JOB KNOWLEDGE AND INFORMATION EXCHANGE: Demonstrates competence and clear understanding of laboratory tests ordered. Demonstrates good understanding of theoretical and technical aspects of job responsibility. Communicates new procedures/assignments, collection requirements. Incorporates new policies and procedures on target dates. Presents information accurately, clearly and concisely to ensure understanding. Listens carefully to others in order to respond appropriately, answer questions or gain needed information. Maintains confidentiality in communication as appropriate.
PROBLEM SOLVING: Recognizes problems quickly as they occur and/or reviews records to identify recurrent problems. Research questions/problems concerning the services of the department to determine possible solutions. Identifies and uses resources available to provide assistance in resolving problems. Determines effective solution or best course of action by reviewing alternatives, taking into consideration effect of action/solution upon the department or section. Resolves problems by initiating and/or recommending the selected course of action or solution. Communicates course of action to all involved.
QUALITY CONTROL: Assures proper identification of every patient by checking matching labels. Accurately labels all specimens. Delivers specimens to appropriate locations within appropriate periods. Assures that all required written patient information is complete and legible. Monitors phlebotomy/nursing collection checklist for validity. Conducts patient satisfaction surveys as appropriate.
INVENTORY CONTROL: Monitors inventory levels of supplies, reagents and equipment on a regular basis to determine supply needs and to avoid loss and pilferage. Orders stock in sufficient quantities, considering delivery lead-time, so that adequate supplies are available to meet anticipated needs. Receives and checks shipments for accuracy, completeness, and quality of stock. Organizes stock by labeling and storing supplies in a systematic, easily accessible fashion.
WORK ORGANIZATION: Schedules own time effectively by assigning priorities to daily, weekly, or monthly activities. Prioritizes and completes tests according to the urgency of the request (e.g. stat, routine). Avoids crises through systematic planning and follow-through. Schedules work assignments for staff appropriately. Monitors work activity to optimize resources Monitors and changes work assignments to achieve Departmental or Section goals.
DOCUMENTATION: Creates and maintains accurate records, files and logs needed for departmental records; entering, updating and/or recording information accurately and in a timely manner. Reviews incoming documents or forms to verify that information supplied is correct and complete. Requests additional information when records or forms is incomplete or incorrect, and updates records. Classifies and/or codes data accurately. Transcribes data, codes, or other information accurately onto forms or into computer to process appropriately. Test requests and labels specimens accurately and in a timely manner. Data processes patient information accurately. Writes concise, organized communication reports.
PROFESSIONAL DEVELOPMENT: Displays initiative by identifying and resolving problem situations as they occur. Demonstrates good judgment in handling situations not covered by written or verbal instructions. Demonstrates interest in broad aspects of the profession, e.g. teaches procedures to new personnel, participates in operational management of laboratory, and contributes to discussions and decision-making related to direction of laboratory offerings and operations. Research into improving methods. Works independently. Accepts responsibility for work assignments.
INTERPERSONAL SKILLS: Displays ability and willingness to work well with co-workers, patients, supervisors, auxiliary personnel, etc. Responds carefully and accurately to employees and students to aid in their training. Answers telephone courteously and respond to inquiries accurately. Exhibits leadership skills.
PROFESSIONALISM: Projects an image of professionalism in appearance and conduct at all times; Works well with peers and those in authority; Promotes patient and staff relations and displays pride in work; Complies with Hospital, Laboratory, Safety, and HIPAA regulations; Notifies Supervisor or Safety Officer of hazards when found; Completes annual mandatories on or before the due date; Responsible for maintaining adequate staffing on all shifts and weekends.
HEALTH ORGANIZATION: Performs duties in accordance with Penn Medicine and entity values, policies, and procedures. Other duties as assigned to support the unit, department, entity, and health system organization.
Credentials: NPCE, NHA or equivalent Phlebotomy CertificationMA Certification w/Phlebotomy experience. (required)
Education or Equivalent Experience:
HS Diploma/GED (required) Phlebotomy training and experience in an outpatient or hospital setting (preferred)
Prior experience in hospital laboratory information system (preferred)
Prior experience with Microsoft Office (preferred)
2+ years experience as a phlebotomist (preferred)
