About the Role
Our staffing firm is partnering with a leading manufacturer of industrial air movement, ventilation, and mechanical equipment to identify a Manufacturing Office Assistant. This position plays a critical role in supporting production operations through scheduling, order management, reporting, and administrative coordination.
The ideal candidate is highly organized, detail-oriented, and comfortable working in both an office setting and a manufacturing environment. This role works closely with Production, Customer Service, Planning, and Shipping teams to ensure accurate information, timely communication, and efficient workflow management. Job Description
As a Manufacturing Office Assistant, you will support day-to-day manufacturing operations by maintaining production schedules, updating order information, generating reports, and serving as a liaison between internal departments. You will help ensure customer orders move through the production process accurately and on schedule.
Responsibilities

• Enter and maintain production schedules, ship dates, and order information within the ERP system
• Update and correct shipping dates to reflect customer requirements and production timelines
• Generate, maintain, and distribute production, shipping, and scheduling reports
• Create and maintain shop orders, order documentation, and production records
• Assist with production scheduling activities and order prioritization
• Communicate shipment dates, order status updates, and schedule changes to Customer Service and other stakeholders
• Support coordination between Production, Planning, Shipping, and Customer Service teams
• Respond to inquiries regarding order status, delivery timelines, and production schedules
• Maintain master data and planning information within the ERP system
• Assist with expedite requests and scheduling adjustments as needed
• Communicate production updates and engineering changes to manufacturing personnel
• Support continuous improvement initiatives and perform other administrative duties as assigned
• Occasionally visit the manufacturing floor to gather information and support operational needs

Qualifications
Required

• High school diploma or equivalent
• 1+ years of office, administrative, data entry, customer service, or coordination experience
• Strong data entry accuracy and attention to detail
• Experience using Microsoft Excel and Microsoft Word
• Strong organizational, communication, and multitasking skills
• Ability to work effectively with cross-functional teams
• Comfortable working in a manufacturing environment and visiting the production floor as needed
• Ability to prioritize competing tasks and meet deadlines in a fast-paced setting

Preferred

• Associate degree
• Experience in a manufacturing, production, scheduling, planning, or operations support environment
• Experience working with ERP systems
• Epicor ERP experience
• Knowledge of production scheduling, shipping coordination, or order management processes

Physical Requirements

• Ability to remain seated and work at a computer for extended periods
• Ability to occasionally walk throughout a manufacturing facility
• Ability to occasionally lift up to 20 pounds
• Ability to occasionally bend, reach, stoop, or climb as required
