Position Summary The Customer Service Representative serves as the primary point of contact for foodservice customers, ensuring accurate order processing, timely communication, and exceptional customer support. This role works closely with sales, warehouse, transportation, and purchasing teams to support the efficient distribution of food products and supplies. The ideal candidate is customer‑focused, detail‑oriented, and able to thrive in a fast‑paced distribution environment where accuracy and responsiveness are critical to customer success. Essential Duties And Responsibilities Receive customer orders via phone, email, and other communication channels. Accurately enter and process foodservice orders in the company’s order management system. Verify product availability, pricing, substitutions, and delivery schedules. Assist customers with order modifications, shortages, credits, returns, and delivery inquiries. Provide professional and timely responses to customer questions regarding products, orders, and account information. Coordinate with warehouse, transportation, purchasing, and sales teams to ensure accurate and on-time order fulfillment. Proactively communicate product outages, substitutions, delays, and service‑related issues to customers. Maintain accurate customer records, order documentation, and account information. Investigate and resolve customer concerns while providing effective solutions and escalating issues when necessary. Monitor open orders and follow up to ensure customer expectations are met. Support company initiatives focused on customer satisfaction, retention, and service excellence. Perform administrative and data entry functions with a high degree of accuracy. Schedule Monday through Friday: 8:00 AM to 5:00 PM Rotating Saturdays: 8:00 AM to 12:00 PM Additional hours or schedule flexibility may be required to support customer needs, peak business periods, and operational demands. Required Skills And Competencies Excellent verbal, written, and telephone communication skills. Strong customer service mindset with the ability to build positive customer relationships. Ability to multitask and prioritize competing responsibilities in a fast‑paced distribution environment. Strong attention to detail and commitment to order accuracy. Effective problem‑solving and conflict‑resolution skills. Proficiency with Microsoft Office and order entry/customer management systems. Strong organizational and time‑management skills. Ability to work collaboratively with customers, sales representatives, warehouse personnel, and transportation teams. Knowledge of foodservice products, distribution operations, or supply chain processes is preferred. Ability to remain calm, professional, and service‑oriented under pressure. Qualifications High School Diploma or GED required. Minimum of one year of customer service, order entry, call center, or administrative experience preferred. Experience in foodservice distribution, wholesale distribution, logistics, or related industries strongly preferred. Proficient computer and data entry skills. Demonstrated ability to provide exceptional customer service while maintaining accuracy and efficiency.
