Job Description - Job Summary/PurposeThe Program Manager for Outreach & Engagement provides operational coordination and management for pathway programs, recruitment outreach initiatives. student engagement programming, grant development, and divisional research compliance within the Division of Admissions, Advising & Student Life.The Program Manager for Outreach & Student Engagement is responsible for the development, implementation, and evaluation of strategic outreach initiatives and student engagement programs that support the recruitment, retention, and success of a mission-aligned medical student body. This role collaborates across Admissions. Student Affairs, and external partners to strengthen pathway programs, enhance community engagement, and promote access to medical education, with a particular focus on West Virginia and rural populations.Reporting to the Senior Associate Dean of Admissions, Advising & Student Life, this position manages outreach and recruitment initiatives, strengthens Institutional recruitment pathways, supports medical student affinity organizations. assists in securing external funding lo sustain and expand pathway programming, and manages the division's regulatory compliance with the institutional Review Board (IRB).Work EnvironmentThis position is primarily office-based with regular travel for recruitment activities. Evening and weekend work may be required to support outreach events, recruitment activities, and student programming.
Essential Duties and ResponsibilitiesRecruitment & OutreachDevelop & coordinate recruitment outreach initiative aligned with the School of Medicine prioritiesSupport the Admissions office with applicant engagement and recruitment programmingConduct recruitment travel in-state and out-of-state to colleges, universities, and professional conferencesBuild and maintain partnerships with pre-health advisors, educational institutions, and community organizationsRepresent the School of Medicine at recruitment events, fairs, and community engagementsSupport initiatives that promote awareness of careers in medicine, particularly among underserved populationsAssist with the development of presentations and recruitment materialsTrack and report recruitment engagement metrics and outcomesPathway Program OversightDesign, implement, and evaluate pathway programs aligned with institutional missionCoordinate summer enrichment programs, workshops, and pre-medical development initiativesTrack participant outcomes and assess program effectiveness using data-driven approachesCollaborate with faculty faculty, advisors, and external partners to enhance program impactProvide operational insight of pathway and enrichment programsCoordinate logistics, programming, and evaluation of outreach initiativesMonitor program effectiveness and prepare annual outcome reportsSupport alignment of pathway initiatives with accreditation and institutional goalsCollect, analyze, and report on program performance, impact, and outreach metricsTrack and report engagement data usingCRMtools (e.g., REDcap, Salesforce, or Excel)Student Engagement & Affinity GroupsSupport medical student affinity organizations; assist with program coordination, event logistics budget tracking and complianceSupport student leadership development and engagement initiatives and activitiesDevelop programming that supports student engagement, belonging, and professional developmentPartner with Student Affairs to support initiatives that promote wellness, inclusion, and professional identity formationSupport retention-focused strategies across the learner lifecycleGrant Development &ManagementIdentify federal, state, foundation, and private funding opportunitiesAssist in the preparation, writing, and submission of grant proposalsAssist in the coordination of grant budgets in collaboration with leadership and financeAssist with ensuring compliance with sponsor reporting requirementsTrack measurable outcomes tied to grant deliverablesIRB& Regulatory ComplianceManageIRBprotocols related to outreach, recruitment, and program evaluationMaintain required regulatory documentation and ensure timely submissions, amendments, and renewalsEnsure compliance with university policies with university policies and applicable federal regulationsProgram Evaluation & ReportingDevelop metrics to assess outreach effectiveness, applicant pipeline growth, and student engagement outcomesPrepare reports and presentations for leadership on program impact and strategic recommendationsEnsure compliance with institutional policies and accreditation standards (e.g.,LCMEconsiderations)Program AdministrationDevelop and submit program budgets for review and approvalPrepare reports and presentations for senior leadershipSupport accreditation-related reporting as applicable.
Salary Range - $ 44,918 - 58,393 Salary is commensurate with experience, education, and internal equity

Qualifications Must be able to perform all essential job duties as outlined in the job description. Required Qualifications
Education - Master's degree in higher education, public health, healthcare administration, or related field.
Experience - Minimum of three (3) years of professional experience in academic medicine, higher education, outreach programming, admissions, student affairs, or program management.Demonstrated experience with project coordination and data tracking.Experience assisting with grant proposal development.Experience with or familiarity withIRBsubmission and research compliance processes.Strong written, verbal, and organizational skills.Ability to travel in-state and out-of-state.
