Safety ManagerThe Safety Manager supports the administration of the organization's safety, risk management, regulatory compliance, and asset management programs. This position assists in maintaining compliance with organizational policies, state and federal regulations, insurance requirements, and risk management standards. The Safety Manager serves as a key administrative and operational resource for the Safety & Risk Management Department by coordinating training records, managing compliance documentation, maintaining asset inventories, tracking vendor insurance requirements, supporting incident reporting processes, and assisting with departmental purchasing and budget administration. This position is designed as a developmental role with opportunities for increased responsibility and advancement within safety, compliance, risk management, and emergency management functions. Salary will be commensurate with the education, qualifications, and experience outlined in this job description.Essential Duties and ResponsibilitiesSafety Training AdministrationCoordinate and maintain employee safety training, training records, and databases.Schedule training and communicate training requirements to employees and supervisors as needed.Monitor safety training completion status and generate compliance reports.Assist with onboarding and annual compliance training programs.Maintain, revise, and ensure compliance of written safety programs.Vendor Compliance and Certificates of Insurance (COIs)Track, review, and maintain vendor Certificates of Insurance.Monitor insurance expiration dates and follow up with vendors to obtain updated documentation.Verify insurance coverage meets organizational requirements.Maintain vendor compliance files and related records.Assist departments with contractor and vendor compliance requirements.Louisiana Office of Risk Management Compliance SupportAssist with submission and maintenance of documentation required by the Louisiana Office of Risk Management (ORM).Maintain records associated with claims, incidents, and risk management reporting requirements.Support compliance initiatives related to state insurance and risk management programs.Assist with audit preparation and record retention requirements.Asset Management and LPAA ComplianceMaintain asset inventories and supporting documentation.Assist with tagging, tracking, transferring, and disposition of organizational assets.Support compliance with Louisiana Property Assistance Agency (LPAA) requirements.Conduct periodic audits and reconcile inventory records.Prepare reports related to asset accountability and compliance.Incident and Accident ReportingManage administration of incident, accident, and near-miss reporting systems.Maintain incident documentation and supporting files.Track corrective actions and recommendations resulting from investigations.Prepare summary reports and compliance metrics.Maintain OSHA logs and manage reporting compliance.Support recordkeeping requirements associated with workers' compensation, general liability, and property claims.Purchasing and Fiscal SupportGenerate and track purchase requisitions and purchase orders.Maintain departmental purchasing records.Monitor budget expenditures and assist with invoice processing.Coordinate procurement of safety equipment, supplies, and services.Assist with contract and vendor documentation management.Compliance AdministrationMaintain departmental records, databases, spreadsheets, and filing systems.Assist with internal audits, inspections, and compliance reviews.Prepare reports, correspondence, presentations, and documentation.Track compliance deadlines and regulatory requirements.Support emergency preparedness, business continuity, and risk management initiatives.Other DutiesComplete safety inspections and assessments.Assist with special projects and departmental initiatives.Provide administrative support during emergency incidents and organizational response activities.Perform other duties as assigned in support of the Safety & Risk Management Department.Qualifications, Educational Requirements, & ExperienceRequired:High School Diploma or GED with three years of experience in compliance, records management, safety, risk management, or related experience.Preferred:Bachelor's degree in safety management, Risk Management, Business Administration, Emergency Management, Public Administration, English, or a related field with three years of experience supporting compliance, safety, risk management, training administration, insurance programs, procurement, office management or asset management functions.Preferred QualificationsThe following qualifications are desirable but not required:Experience managing training records and Learning Management Systems.Experience reviewing Certificates of Insurance.Experience with asset inventory management systems.Knowledge of Louisiana Office of Risk Management reporting processes.Familiarity with Louisiana Property Assistance Agency (LPAA) requirements.Experience assisting with audits or regulatory compliance programs.Experience with safety audits and inspections.Sustainability Goals:City Park employees strive to decrease our environmental footprint by continually seeking ways to reduce waste and energy usage, care for natural Park habitat and wildlife, and to serve as models to our patrons to do the same through education and example.Physical Demands:The physical demands described here are those that must be met by an employee to successfully perform the essential functions of this job.
