The School of Life Sciences (SOLS) seeks a Manager, Facilities Operations to lead the day-to-day facilities operations supporting the School's research, teaching, and administrative activities. This position manages facilities services across a complex portfolio of laboratories, classrooms, offices, controlled environments, cold rooms, specialized research spaces, and associated infrastructure.
The Manager supervises facilities staff and works closely with faculty, researchers, instructors, university facilities partners, contractors, and vendors to ensure facilities are safe, reliable, responsive, and aligned with the School's academic and research priorities.
The Manager reports to and works in close partnership with the Associate Director for Facilities and Safety (AD-FS). The Manager provides operational expertise related to feasibility, cost, scheduling, infrastructure, risk, and implementation and exercises independent judgment in managing routine facilities operations. The position also collaborates closely with the Manager of Safety and other university partners.
Position Salary Range: $75,000 - $85,000; DOE
Essential Duties:
- Direct day-to-day facilities operations and services across SOLS research and teaching laboratories, classrooms, offices, support rooms, cold rooms, controlled environments, and other specialized spaces.
- Supervise, train, coach, and evaluate facilities staff; establish priorities, assign work, balance workloads, and ensure appropriate service coverage.
- Develop and maintain effective processes for facilities requests, work prioritization, tracking, escalation, communication, and completion.
- Partner with the Associate Director for Facilities and Safety to develop annual and long-range facilities priorities, operating plans, budgets, preventive maintenance programs, procedures, and infrastructure renewal recommendations.
- Develop budget forecasts and resource requests and manage expenditures, purchasing, contracts, vendors, and service agreements within assigned authority.
- Analyze facilities, maintenance, project, infrastructure, and budget information to identify operational risks, recommend improvements, and support leadership decision-making.
- Work with faculty and researchers to assess facilities requirements and translate scientific and instructional needs into feasible scopes of work, specifications, cost estimates, schedules, and implementation plans.
- Coordinate laboratory and office setups, equipment installations, moves, relocations, space turnover, faculty arrivals and departures, and changing research or instructional needs.
- Coordinate inspection, preventive maintenance, repair, and renewal of building systems and research-support infrastructure, including HVAC, electrical service, plumbing, environmental controls, specialized utilities, cold rooms, research freezers, and backup systems.
- Identify and respond to facilities conditions that may affect personnel, research materials, scientific equipment, research animals or organisms, teaching activities, or continuity of research and academic operations.
- Coordinate facilities response to outages, equipment or infrastructure failures, and other urgent conditions; communicate impacts and assist in developing continuity and recovery plans.
- Plan and coordinate renovations, space modifications, infrastructure upgrades, equipment installations, and moves from approved scope through project closeout.
- Coordinate with university and college facilities teams, architects, engineers, project managers, contractors, and vendors and monitor work for adherence to scope, schedule, budget, specifications, and operational requirements.
- Collaborate with the Manager of Safety, Associate Director for Facilities and Safety, and responsible university units to incorporate applicable safety, accessibility, environmental, and regulatory requirements into facilities operations and projects.
- Maintain facilities records and documentation and provide operational, feasibility, cost, and infrastructure information to support the SOLS Facilities and Safety Steering Committee and School leadership.
- Perform other duties as assigned.
Desired Qualifications:
- Experience managing facilities operations in a university, research institution, laboratory, healthcare, or similarly complex scientific or technical environment.
- Experience supporting research laboratories and specialized infrastructure, including HVAC, electrical, plumbing, environmental controls, specialized utilities, cold rooms, freezers, backup systems, or scientific equipment.
- Experience supporting facilities with research-sensitive operations, including controlled environments, research animals or organisms, critical equipment, and continuity-of-research considerations.
- Experience planning and coordinating renovations, infrastructure upgrades, equipment installations, laboratory or office moves, and space transitions.
- Experience managing multiple concurrent projects, budgets, purchasing, contracts, vendors, and service agreements while balancing competing priorities.
- Experience developing or implementing preventive maintenance, infrastructure renewal, emergency response, or continuity plans and applying relevant safety, accessibility, environmental, and regulatory requirements.
- Experience supervising and developing staff, establishing work priorities, and promoting responsive, service-oriented facilities operations.
- Demonstrated ability to assess complex operational needs, identify risks, develop practical solutions, exercise sound judgment, and effectively communicate technical information and recommendations to faculty, researchers, administrators, contractors, and other stakeholders.
Working Environment:
- Activities are performed in a variety of settings, including offices, classrooms, research and teaching laboratories, controlled environments, cold rooms, mechanical spaces, and other specialized facilities.
- This position may require accessing laboratory, mechanical, utility, and other restricted or specialized spaces.
- Following established laboratory and facility safety protocols and wearing required personal protective equipment.
- Working in environments with varying temperatures, noise levels, mechanical equipment, or other conditions typical of research and facilities operations.
- Responding to or coordinating urgent facilities situations outside normal business hours when critical infrastructure, research materials, equipment, safety, or continuity of research and teaching operations may be affected.
