Brief Description Business Office Specialist (Administrative Assistant) Join The Niello Company – Driving What’s Good for Over a Century! What You Bring High school diploma or equivalent required Valid driver’s license with a clean driving record Strong organizational skills with exceptional attention to detail Professional communication and a polished presence Ability to multitask, prioritize, and meet deadlines in a fast‑paced environment Your Impact Core Responsibilities Prepare and reconcile daily cash deposits, including daily sales tax reconciliation and balancing outstanding items Issue payments for miscellaneous vendor payables with accuracy and timeliness Perform document scanning and filing, maintaining organized and compliant business records Process internal dealership transactions (intercompany charges, internal repair orders, and cost allocations) Record and post warranty receivables as accounting journal entries for payments issued by the manufacturer for warranty work performed Process and track dealer trade transactions, managing both accounts payable and receivable sides of each deal Submit DMV Release of Liability notifications for all applicable vehicle transactions Research, track, and resolve FasTrak tolls, citations, and related administrative items Assist with wholesale operations, gaining exposure to vehicle titles, transfers, and transaction flow Maintain and update title worksheets and support titling processes. Research and follow‑up with lienholders on title status and maintain a detailed worksheet on all outstanding items. Reconcile and manage fuel and utility billing Support inventory record accuracy for both new and pre‑owned vehicles Operational Excellence Maintain structured workflows to ensure timely follow‑up and completion of tasks Continuously evaluate processes to improve efficiency and accuracy Stay current with dealership systems, automotive terminology, and compliance requirements Ensure adherence to federal, state, and local regulations Uphold strict confidentiality and company policies Work Ethic & Culture Deliver a high level of internal and external customer satisfaction Collaborate effectively and contribute to a positive, professional team environment Demonstrate reliability, accountability, and a proactive mindset Maintain flexibility to support business needs, including evenings, weekends, and holidays Physical & Work Environment Indoor, climate‑controlled office setting Regular sitting, standing, and computer use Occasional lifting (up to 50 lbs), bending, or reaching Repetitive hand and finger motion for data entry and documentation Why This Role Matters This isn’t just administrative support—it’s a gateway into the operational engine of a luxury automotive dealership. Compensation Range By Position The expected pay for this position is $24.00 to $28.00 per hour and may vary based on factors such as location, skills, and relevant experience. Some positions may include additional compensation in the form of bonuses or commissions.
